Job Title: Specialist, Leave Management
Job Responsibilities:
The Specialist, Leave Management position at the law firm primarily involves administering . leaves of absence related to the Family and Medical Leave Act (FMLA), disability, paid family leave, and managing the reporting of workers’ compensation claims. The individual in this role will also support the Benefits Department with various tasks, including the annual benefit open enrollment period and addressing employee inquiries. Key responsibilities include:
- Maintaining a comprehensive understanding of relevant laws and regulations, such as the Americans with Disabilities Act (ADA), FMLA, and various state-specific programs in New York, Washington ., Massachusetts, and California, ensuring they align with internal firm policies and offerings.
- Administering leaves of absence for all . paid employees eligible for FMLA protection, disability benefits, and/or paid family leave benefits. This includes ongoing communication with employees throughout each stage of their absence, ensuring all necessary documentation is complete, entering leaves into the firm's HR system, informing Payroll of payment details, and liaising with insurance companies.
- Partnering with the Compliance and Human Resources Advisory teams to manage reasonable accommodation requests, coordinating with external companies to review such requests.
- Meeting weekly with the Compliance team to ensure adherence to relevant laws and firm policies and to discuss related employee relations issues.
- Collaborating with Finance to track and properly record receipt of short-term disability and paid family leave reimbursements.
- Reviewing third-party sick pay reports for accuracy and sending final versions to Payroll for processing.
- Completing OSHA’s annual Forms 300 and 300A for each . office and any requested Surveys of Occupational Injuries and Illnesses.
- Coordinating timely postings of required disability and paid family leave law notices in all . offices.
- Managing annual Washington, . paid family leave acknowledgments and following up with employees as needed.
- Collecting benefit payments from employees on unpaid leaves of absence.
- Coordinating the annual Individual Disability Insurance enrollment period available to attorneys and managers.
- Assisting with preparation of communications and events to maximize employee and partner awareness and usage of parental and other resources.
- Assisting with various Open Enrollment tasks, including testing the PeopleSoft enrollment system and assisting individuals with questions.
- Providing timely assistance to employees and partners with questions and issues.
- Supporting the Benefits Department with tasks and projects as needed.
Education & Experience:
- A minimum of 5 years of relevant experience, including leave administration and managing workplace accommodation requests.
Knowledge, Skills & Abilities:
- Comprehensive understanding of leave laws and regulations, including the ADA and FMLA, as well as state-specific programs in New York, Washington ., Massachusetts, Illinois, Texas, and California.
- Experience with various aspects of health and welfare benefits.
- Experience with PeopleSoft or similar HR/Benefits systems, such as Workday.
- Intermediate knowledge of Microsoft Office Excel and Word applications.
- Excellent verbal and written communication skills.
- Ability to interact effectively with all levels of staff, partners, and outside vendors, often in a sensitive and confidential manner.
- Strong organizational and analytical skills with attention to detail.
- Ability to work independently and manage multiple projects simultaneously while meeting deadlines in a fast-paced environment.
Salary Information:
For individuals assigned to or hired for this opportunity in New York, the estimated annualized base salary range is $93,000-$116,000. The actual base salary offered will depend on the overall qualifications of the individual applicant, including location and other job-related factors permitted by law.
