Job Title: Presuit Secretary
Job Responsibilities:
The Presuit Secretary will work closely with a Case Manager to support the pre-litigation phase of legal cases. Key responsibilities include:
- Requesting medical bills and records.
- Submitting requests via Shared Services for coverage verification.
- Opening cases and sending introductory letters as per the "New File Open Checklist."
- Handling requests for PIP logs, health insurance lien letters, bill PIP letters, PIP applications, PD estimates, and sending PD letters.
- Communicating with insurance companies to obtain claim numbers, confirming verbal limits, and following up on disclosures.
- Sending No Longer Representation Letters via fax, email, or mail after Turn Downs are approved.
- Verifying balances from medical providers, health insurance, and work compensation liens.
- Requesting checks from accounting to pay invoices.
- Compiling necessary documents for demands and merging them into a Demand Packet PDF.
- Closing files by mailing final pay letters to all medical providers and lien holders.
- Mailing proceeds checks and DCD checks when applicable.
- Scanning documents into the case management system.
- Checking and managing mail through Docufree.
- Communicating with clients as required to obtain updates on their matters.
- Saving all faxes sent and received with appropriate titles.
- Mailing government letters via certified mail.
- Assisting case managers and attorneys in organizing client files in the case management system.
- Completing check requests for medical records, accident reports, driving records, and vehicle ownership, and submitting them for processing.
- Performing general administrative office duties as needed.
- Assisting with other tasks as requested by attorneys or case staff.
