Job Title: Marketing Special Projects Assistant
Job Responsibilities:
The Marketing Special Projects Assistant at the law firm is a crucial role within the Marketing Department, tasked with supporting one of the most dynamic legal marketing teams in the country. This position involves working closely with the Senior Leadership team and the Chief Marketing Officer (CMO) to manage projects and departmental processes. The key responsibilities include:
- Marketing Department Coordination:
- Preparing and distributing internal communications for the marketing department.
- Scheduling and organizing regular department meetings, setting agendas, preparing materials, and documenting minutes.
- Organizing and coordinating department events and retreats.
- Acting as a team ambassador by reflecting the dynamic and positive work environment.
- Coordinating the onboarding process for new marketing team members, including organizing orientation sessions and ensuring materials are up to date.
- Keeping the internal dashboard updated in relation to the Marketing Department.
- Project Coordination:
- Assisting with projects as assigned by the CMO or the Senior Leadership Team.
- Collaborating with stakeholders to gather project objectives, define responsible parties, set milestones, deadlines, and budgets.
- Coordinating regular team meetings to monitor project progress and ensure milestones are achieved.
- Coordinating periodic meetings and updates with the CMO to ensure alignment with firm and department goals.
- Assisting in identifying and implementing process improvements to streamline project workflows and enhance efficiency.
- Coordinating communication of project implementation and outcomes with the CMO.
- Assistant to the Chief Marketing Officer (CMO) and Department Directors:
- Supporting the CMO with administrative tasks, special projects, research, or presentations.
- Processing and managing invoices and expenses for the CMO and other assigned tasks.
- Scheduling and managing the CMO’s calendar.
- Maintaining a high level of confidentiality.
- Performing other duties as assigned.
Education and Experience Information:
- A Bachelor’s degree is required, preferably in Marketing or a related field.
- At least 2 years of relevant work experience in the legal industry (Am Law preferred) or other professional services industry is required.
- Candidates should demonstrate a drive toward excellence and a strong sense of professionalism.
- Excellent project management skills and the ability to identify and recommend effective solutions are essential.
- Candidates must be responsive to inquiries from internal clients and diplomatic in answering questions or evaluating proposed ideas.
- Strong communication skills, the ability to work with executives, and the ability to handle dynamic requests with a flexible working style are desired.
- Desired characteristics include being detail-oriented, organized, professional, enthusiastic, friendly, process-driven, accountable, collaborative, flexible, and accommodating.

Salary Information:
The budgeted salary range for the Marketing Special Projects Assistant position is $60,000 - $75,000.
