Job Title: Billing Coordinator
Job Responsibilities:
The role of a Billing Coordinator at the law firm involves various responsibilities geared towards efficient and effective billing processes within a fast-paced environment. Key responsibilities include:
- Reviewing pre-bills to ensure they comply with client guidelines, including monitoring for rates and cost exceptions.
- Generating and distributing pre-bills on a monthly basis.
- Participating in monthly meetings with partners to review unbilled and accounts receivable (AR) inventory.
- Processing narrative edits and making time and cost adjustments as necessary.
- Aggregating, compiling, and summarizing receipts and documentation for third-party expenses to be billed to clients.
- Preparing client statements upon request, including creating timekeeper summaries and cover sheets that illustrate total fees and expenses incurred or billed.
- Uploading LEDES invoices via e-billing hubs and various e-billing websites, as needed.
- Addressing internal and external inquiries related to billed and unbilled totals, payment status, and matter history.
- Prioritizing tasks to ensure invoices are distributed, mailed, or e-billed in a timely manner.
- Inputting estimates of fees and costs on client e-billing sites, adhering to deadlines, and obtaining approval from timekeepers.
- Maintaining billing files/e-files and retrieving backup for the department, timekeepers, audits, and other inquiries.
- Participating in collection activities as needed and identifying and escalating deductions and/or collections issues.
- Maintaining telephone, email, and personal contact with clients, attorneys, and staff.
- Working closely with attorneys, clients, secretaries, and collections staff to assist with client billing collections.
- Working on special projects, analyses, and implementing special billing requests as needed.
- Generating reports as requested by billing partners, secretaries, or clients.
- Observing confidentiality in all firm and client matters.
- Performing other duties as they arise.
Education and Experience Information:
The position requires the following qualifications:
- 2-5 years of experience in a billing role, preferably at a law firm.
- A service-oriented and self-motivated individual who consistently performs with a high sense of urgency and pride in their product.
- Capability to exceed expectations of both internal (partners and attorneys) and external (clients) constituents regularly.
- Experience with Elite 3E software is preferred.
- Demonstrated understanding of complex billing and/or E-Billing systems (such as Tymetrix, Serengeti, etc.) and processes with multiple workflows is desirable.
- Advanced proficiency with Microsoft Excel and the Microsoft Office Suite.
- Excellent written and verbal communication and interpersonal skills, and an ability to establish and maintain relationships with partners, attorneys, finance staff, clients, brokers, and other third-party vendors.
- A high school diploma is required.
