Job Title: Client Accounts Administrator
Job Responsibilities:
The Client Accounts Administrator is responsible for managing the law firm’s top-tier billing portfolios, which include high volumes and fees for institutional, high-profile clients and attorneys. This role involves serving as a proxy for regional supervisors when needed and acting as a subject-matter expert in billing. The administrator represents the department by participating in client meetings and cross-group agendas that impact billing practices and processes. The position requires collaboration with Legal Support Services and Accounting teams to provide streamlined billing and client account services to attorneys. Duties include handling complex domestic and global billing clients, editing, proofreading, finalizing, and submitting invoices to clients on a monthly cycle, and researching client billing data to provide detailed analysis to attorneys and support staff. The administrator provides full-cycle billing support to billing attorneys with complex domestic and international billing books and offers training and mentoring to other staff members on billing procedures.
Responsibilities for . Clients include managing complex billing involving volumes, global clients, and electronic billing assignments. The administrator will support the full billing cycle, review and edit prebills, seek requisite approvals, handle billing inquiries, and resolve tickets assigned by the Accounting Service Desk. Proficiency in BillBlast, Aderant, and electronic billing vendor sites is required for quality assurance and root-cause analysis for electronic bill rejection. The administrator maintains accurate client billing requirements, collaborates for monthly reporting, gathers accrual information, finalizes invoices, and submits them electronically based on client requirements. Continuous improvement of client service and deliverables is expected, along with sharing expertise and knowledge for team development. The administrator is also responsible for driving improvements through collaboration with other departments and managing time efficiently.
For Global Clients, the administrator coordinates and leads global client unified billing, manages global client account assignments, and performs full-cycle billing functions. Responsibilities include obtaining complex monthly reporting, liaising with international counterparts for accurate accrual and forecasting information, keeping . Billing Timekeepers informed, troubleshooting issues with finance counterparts, and generating global client LEDES files for electronic billing. The administrator is expected to track and resolve tickets assigned by the Accounting Service Desk daily.
Education and Experience Information:
Minimum Education: High School Diploma or GED is required. A Bachelor's Degree in Accounting, Finance, or a similar field is highly preferred.
Minimum Years of Experience: The role requires a minimum of 5 years of experience managing high-volume billing portfolios in a fast-paced environment. The candidate must have expert-level knowledge and experience with direct billing or client accounts, including domestic and global billing and e-Billing, preferably in a law or professional services organization. Experience as a team lead is preferred, and the candidate should be considered a subject-matter expert. Strong computer skills, including advanced proficiency in Excel and accounting systems such as Aderant, are required. Proficiency in e-billing applications such as BillBlast or e-Billing Hub is also necessary.
Salary Information:
The expected hiring range for this position is - per hour, depending on the candidate’s geographic market location. Non-exempt positions will be paid on an hourly basis and receive overtime pay in accordance with applicable laws. The compensation offered is also dependent on factors such as the candidate’s experience, skills, educational and professional background, and overall qualifications.
