Job Title: Sr. Billing Administrator
Job Responsibilities:
E-Billing Administration
- Assist the E-Billing Manager and E-Billing team with electronic on-boarding tasks including client matter setup and mapping, timekeeper entry and mapping, diversity submission as required, and rate updates/maintenance in various e-billing platforms used by law firm clients.
- Provide support to Billing Department team members with troubleshooting e-billing-related issues.
- Assist Billing Department team members with overflow e-billing invoice submission.
Invoice Preparation
- Order, prepare, and distribute pre-bills for assigned billing partners/accounts.
- Transmit electronic billing ("e-billing"), assess electronic billing processes and procedures, and implement system changes as necessary.
- Record and maintain accurate phase, task, and billing codes.
- Prepare, produce, and finalize invoices for assigned accounts.
- Assist with bill preparation for more sophisticated bills and/or on-demand requirements as available (both manual & electronic).
- Directly contact billing partners to resolve billing-related issues.
- Maintain and follow-up on available unallocated funds.
- Reprint posted invoices and provide copies, as necessary.
- Produce ad hoc reports as requested.
- Assist with billing overflow from other offices, as needed.
- Update billing addresses and payer information as needed.
Client/Attorney Requirements
- Coordinate special client billing requests with E-Billing Manager.
- Coordinate approval and implementation of special rate arrangements in collaboration with the Pricing and Project Management team and the Billing Compliance team.
- Respond in a timely manner to Client Accounting emails and help line calls.
- Assist with preparing client and/or attorney analyses as needed.
- Address revised invoice balances as client issues are surfaced.
- Prepare client audit reports.
- Maintain client/matter maintenance information in coordination with the Billing Compliance team.
- Collaborate with collection coordinators on accounts receivable issues.
- Interact with Conflicts Department for new matter openings and record maintenance in coordination with the Billing Compliance team.
Education and Experience Information:
- A minimum of 3-5 years’ experience working in a professional services environment, with a preference for law firm billing experience.
- Experience with financial/billing software packages and Finance/Accounting organizational operations, with Aderant Expert billing system experience preferred.
- Experience with electronic billing transmission on a variety of e-billing platforms, with eBillingHub experience preferred.
- Ability to adhere and apply billing department policies and procedures.
- Proficiency in MS Office; strong knowledge of Excel preferred.
- Proven ability to provide a high level of customer service in a fast-paced environment.
- Ability to handle a high volume of tasks while maintaining attention to detail and prioritizing as necessary.
Salary Information:
- The target salary range for this position varies by location and is commensurate with relevant experience:
- Boston: $72,900 - $109,400
- Los Angeles: $76,600 - $114,900
- New York: $76,600 - $114,900
- Philadelphia: $68,600 - $102,900
- San Francisco: $81,700 - $122,500
- Santa Monica: $76,600 - $114,900
- Silicon Valley: $81,700 - $122,500
- Washington DC: $72,900 - $109,400
