Legal Secretary The candidate will join the Litigation department. Will open files (electronic and physical) for the Litigation department. Transcription from Practice Partner of dictation including, letters to courts, clients, and opposing counsel, various motions, case information, various instructions, and follow-up reminders to be made in digital format. Running bills and making edits to bills (if needed) to be sent to clients for payments on their accounts on a monthly basis. Creation of subfolders (electronic and physical) for the organization of files. Assemble documents to be filed with courts (. 9A packets). Communication with clients and opposing counsel to provide and/or obtain documents. Updating pleadings binders to ensure all court pleadings are organized and accurate. Assisting all Partners and Associate attorneys in the Litigation Department with any day-to-day tasks. Closing files and filing. Sending reminders of follow-up takes to be done to Managing Partner daily to ensure no deadlines are missed.
The candidate should have 3+ years of full-time experience working in a secretarial or legal assistant position within a law firm (preferably in litigation). Must possess excellent dictation, document preparation, typing, and prioritization skills. Experience in managing multiple priorities, administrative coordination, and logistics is essential. Must be proficient in the usage of Microsoft Word, Outlook, and Excel. Should preferably have experience with Adobe Acrobat Pro. Experience with current data management systems is a plus (iManage).
