Job Title: Legal Administrative Assistant - Investment Management
Job Responsibilities:
The Legal Administrative Assistant (LAA) in the Investment Management Practice Group at the law firm is responsible for a variety of administrative, secretarial, and document processing tasks. The position supports the practice group under the guidance of the Administrative Support Manager, emphasizing superior client service.
Key responsibilities include:
- Regular use of Task Delegation and Workflow Management software (BigHand) to manage assignments, communicate task status, and seek additional information or guidance as needed.
- Drafting engagement letters, routine correspondence, and memoranda, and updating recurring reports as assigned.
- Updating monthly charts for Associates and Advisors.
- Maintaining and updating eRoom/Clientsite, documenting in FileSite, and incorporating information into working plan documents.
- Answering phones, taking messages, assisting with time entry, scheduling appointments, and coordinating meetings, including arranging audio and video conferences and reserving conference rooms.
- Processing new business intake, related forms, and correspondence.
- Managing expense reports and invoices, arranging check requests, and monitoring through completion.
- Arranging travel and preparing itineraries, maintaining attorney travel and desk profiles.
- Coordinating or assisting with printing, scanning, copying of documents, and sending them as needed.
- Providing legal research, case support, and project assistance.
- Performing other administrative duties as assigned.
Education and Experience:
The ideal candidate for the Legal Administrative Assistant position should have the following qualifications:
- A Bachelor’s degree and at least one year of internship or professional experience are preferred.
- Experience in a professional services industry is considered a plus.
- Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and PDF software, with the ability to adapt to new software programs.
- Strong organizational skills, attention to detail, and the ability to balance multiple tasks in a fast-paced environment.
- The ability to manage confidential information with discretion.
- Excellent written and verbal communication skills, strong interpersonal skills, and the ability to work independently with guidance as part of a team.
- Ability to prioritize and balance competing demands and meet deadlines in a fast-paced professional environment.
- Flexibility to work overtime when required.
