Job Title: Paralegal
Job Responsibilities:
A Paralegal at the company assists and supports attorneys in the Legal Department with the delivery of legal services to the company and its subsidiaries and affiliates. The role involves working across various areas such as Operations, Administration, and Integrated Business Functions, depending on the needs of the company and the Legal Department. The responsibilities are divided into two main categories: litigation-related and transactional matters.
Litigation-Related Responsibilities:
- Assist attorneys with litigation-related matters across various divisions such as Torts, Federal Employers' Liability Act, Commercial Litigation, Labor and Employment, Pension and Employee Benefits, and General Law Divisions, as well as the Transit Adjudication Bureau.
- Review legal documents including notices of claim, pleadings, subpoenas, motions, demands, legal correspondence, and court orders. Record content and update deadlines in Legal Department calendars and databases.
- Monitor court dockets for case activities, notify attorneys, and update information in Legal Department calendars and databases.
- Maintain litigation files and arrange for the service of litigation papers.
- Review discovery demands and prepare draft responses.
- Collect, review, and redact documents for discovery.
- Handle records containing confidential and sensitive information such as personnel, financial, and medical records, labor relations records, and business records with confidential and safety-sensitive information.
- Schedule depositions and statutory hearings, and arrange for court reporters and interpreters.
- Prepare digests and summaries of transcripts, video, and audio recordings.
- Prepare litigation papers for service and filing, including compiling exhibits, verifying citations, and cite checking briefs.
- Assist at depositions, hearings, and trials.
- Conduct fact research and assist in legal research using databases like Lexis-Nexis.
- Prepare status reports relating to matters handled by the Legal Department.
Transactional Responsibilities:
- Assist in preparing correspondence, documents, and forms for execution in transactional matters, which includes compiling exhibits, proofreading, checking internal references, and completing transfer tax forms.
- Manage document workflows with internal clients and counterparties, distribute draft documents for review, and coordinate stakeholder comments.
- Review surveys and title documents, update templates, and maintain template libraries.
- Record content and update deadlines in Legal Department calendars and databases.
- Track and update attorney workflows and the status of open matters.
- Maintain transactional matter files and work with records containing confidential and sensitive information.
- Prepare summaries of documents, conduct fact research, and assist in legal research.
- Record and file legal documents with public authorities and search online public records and other databases.
- Prepare status reports on transactional matters.
Knowledge, Skills, and Abilities:
- Strong organizational, analytical, and quantitative skills.
- Strong communication skills, both written and verbal.
- Ability to work effectively with colleagues at all levels and with external parties.
- Ability to manage short-term and long-term deadlines to complete assignments on time.
- Proficiency in or ability to learn the programs and systems used in the Legal Department, including Microsoft Office Suite, Adobe, and LexisNexis.
Preferred Qualifications:
- Prior experience working in a law firm or the legal department of a private or government entity.
- Familiarity with the company’s policies and procedures.
Education and Experience:
- Required: Bachelor’s Degree or an equivalent combination of education and experience from an accredited college.
- Minimum of 2 years of Paralegal experience.
Salary Information:
- The salary range for this full-time position is $79,598.
Other Information:
- The position may require work outside of normal work hours, including evenings and weekends.
- Travel may be required to other company locations or external sites.
- Employees in policymaking positions must file an Annual Statement of Financial Disclosure with the NYS Commission on Ethics and Lobbying in Government.
