- Front desk support: Greet clients, visitors, attorneys, and staff in a courteous and professional manner.
- Efficient communication: Manage incoming calls and respond to emails using a multi-line phone system.
- Meeting coordination: Book conference rooms and coordinate meeting logistics, such as room set-ups, food service, and audio-visual needs.
- Backup coverage: Serve as the primary backup for the lead receptionist during breaks, lunches, and absences.
- Collaboration: Work with various departments to support day-to-day operations.
- Organizational skills: Maintain a neat and organized reception area and assist with maintaining supply of marketing materials.
- Bilingual skills: Bilingual fluency in Spanish-English preferred but not necessary.
- Proficiency: Must be proficient in Outlook, Microsoft Office, and Word.
- Anticipation: Ability to anticipate client and attorney needs to ensure smooth operation of the conference center.
- Familiarity with New York area: Knowledge of local restaurants, hotels, and cultural attractions.
- Physical requirements: Must be able to lift and move furniture/equipment (up to 25 lbs.).
