Job Responsibilities:
The Receptionist at the law firm is responsible for a range of reception and administrative duties, which are crucial for maintaining the firm's professional environment and ensuring smooth operations. Key responsibilities include:
- Greet clients and visitors, ensuring clear communication between reception and office clientele.
- Promptly answer all incoming calls, manage the switchboard, and deliver accurate messages to the appropriate attorney or staff.
- Maintain a polished appearance of the reception area, pantry, and conference room areas at all times.
- Manage the firm's reception email and direct emails to the appropriate attorney or staff.
- Enter accurate guest information with lobby security as requested.
- Schedule and book conference rooms for meetings, and manage the setup for conference rooms in preparation for scheduled meetings.
- Ensure incoming mail is properly distributed and outgoing mail/packages are sent out daily by the deadline.
- Receive and set up catering delivery for arranged conference meetings.
- Assist various departments with administrative duties, including special event projects, print jobs, and maintaining and organizing the supply closet.
- Perform ad hoc projects as directed by management and the team.
Education and Experience Information:
- An Associate's degree is required, while a Bachelor's degree is preferred.
- Experience in a law firm or hospitality setting is a plus.
- High proficiency with Microsoft Office applications is required.
- Proficiency in using virtual meeting applications such as Zoom and MyTeams is necessary.
- The candidate must possess excellent interpersonal, oral, and written communication skills.
- Superb attention to detail, organizational, and multi-tasking skills are essential.
- The candidate must be able to handle highly sensitive information and maintain confidentiality at all times.
- Demonstrated capability to interact with senior executives is required.
- The candidate should be self-motivated, resourceful, adaptable, and capable of working independently as well as in a team.
- Ability to effectively and accurately manage multiple projects, establish and maintain effective working relationships, and independently prioritize workload, meet deadlines, and work effectively and efficiently in a fast-paced environment is crucial.
Salary Information:
The position offers a full-time salary of $50,000 per year.
