Job Title: Payroll Specialist

Job Responsibilities:
The Payroll Specialist at the law firm is responsible for overseeing and managing employee benefits programs and ensuring accurate payroll processing. The role involves collaboration with the accounting team, managers, and employees to ensure timely and accurate payroll and benefits processing. Specific responsibilities include:

Benefits Responsibilities:
- Oversee implementation, processing, and management of employee benefits programs.
- Ensure accuracy of all benefits enrollments in HRIS to provide vendors with accurate eligibility information.
- Perform quality checks of benefits-related data.
- Respond to benefit inquiries regarding plan provisions, benefits enrollments, status changes, and other general inquiries.
- Distribute all benefits enrollment materials and determine eligibility.
- Respond to 401(k) inquiries relating to enrollments, plan changes, and contribution amounts; manage the annual catch-up contribution enrollment.
- Process 401(k) enrollments and contribution changes.
- Assist with the open enrollment process.
- Administer the tuition reimbursement program.
- Provide benefits reporting as needed.

Payroll Responsibilities:
- Implement, maintain, and review payroll processing systems to ensure timely and accurate processing of payroll transactions, including salaries, bonuses, benefits, garnishments, taxes, and other deductions.
- Ensure accurate and timely processing of payroll updates, including new hires, terminations, and changes to pay rates.
- Process bi-weekly payroll and off-cycle checks as needed.
- Prepare and analyze regular audit reports; communicate directly with employees and their leaders on timekeeping issues and questions.
- Prepare and maintain accurate records and reports of payroll transactions.
- Process garnishments, wage deductions, and income verification requests.
- Ensure payroll compliance with all applicable laws, including tax regulations, wage laws, and company policies.
- Audit W2 preparation in HRIS to ensure accuracy.
- Provide payroll reporting as needed.
- Identify and recommend updates to payroll processing software, systems, and procedures.
- Perform other duties as assigned.

Education and Experience Information:
- 1 – 2 years of benefits administration experience.
- 3+ years of experience in payroll, with multistate experience preferred.
- Strong knowledge of payroll and benefit laws and regulations.
- Excellent communication and interpersonal skills.
- High level of attention to detail.
- Ability to handle confidential information.
- ADP experience preferred.
- Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.

Physical Requirements:
- Office environment with normal business hours necessary to satisfactorily perform job functions.
- Must be able to remain in a stationary position up to 50% of the time.
- Occasionally move about inside the office to access file cabinets, meeting rooms, office machinery, etc.
- Occasionally ascends/descends stairs to get to other floors, cafeteria, and parking area.
- Constantly operates a computer and other office machinery such as a copy machine/printer.
- Occasionally moves supplies weighing up to 10 pounds for various presentation and event needs.
- Ability to communicate information and ideas so others will understand and exchange accurate information in these situations.
- Ability to observe details at close range.
