Administrative Assistant (Emerging Companies and Venture Capital & Intellectual Property)
Job Responsibilities:
The Administrative Assistant will provide essential administrative and organizational support to the Emerging Companies and Venture Capital (ECVC) and Intellectual Property (IP) practices within the law firm. Key responsibilities include:
- Managing the CRM database (Interaction) to ensure accurate and updated client information.
- Drafting and proofreading internal communications for clarity and accuracy.
- Performing general clerical duties such as data entry, photocopying, faxing, mailing, filing, and running off-site errands.
- Maintaining and updating contact lists and managing data effectively.
- Tracking event responses and overseeing ticket clearance during high-volume periods.
- Reviewing marketing invites and assisting with event and list management.
- Assisting with the coordination of department lunches, meetings, and events.
- Supporting Departmental Directors, Managers, and Staff as requested.
- Projecting a professional and customer service-oriented image through in-person, email, virtual meetings, and phone interactions.
- Handling private and confidential information with discretion and confidentiality.
- Performing additional duties as required.
Education and Experience Information:
Candidates should possess a two-year college degree or equivalent professional experience. The position demands excellent attention to detail, time management, and organizational skills. Strong interpersonal, written, and verbal communication skills are essential. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, etc.) and the Zoom platform is required. The candidate should be a flexible team player with a client-service-oriented approach and the ability to handle sensitive and confidential information appropriately.
Salary Information:
For candidates meeting the requirements, the expected base salary ranges from $50,000 to $55,000. The range provided reflects what the law firm in good faith believes it is willing to pay for the advertised position at the time of posting. The exact compensation will be determined based on individual candidate qualifications and location. The law firm offers a comprehensive benefits package that includes medical, dental, vision, prescription drug coverage, life insurance, disability insurance, flexible spending accounts (FSAs), a 401K plan, and paid time off.
