Job Title: Leave Management and Benefits Specialist (Part-Time, 30 Hours/Week, Benefits-Eligible)
Job Responsibilities:
Leave Management:
- Administer all types of employee leaves, including FMLA, ADA, medical, parental, and personal leaves, from initiation to return-to-work. This includes ensuring accurate documentation, pay coordination, and communication.
- Lead internal preparation for the implementation of Minnesota Paid Family and Medical Leave (MN PFML), which involves vendor evaluation, policy review, and planning for a firm-wide rollout.
- Ensure compliance with federal, state, and local leave regulations and maintain complete and accurate leave records.
- Serve as the primary contact for employees navigating the leave process, ensuring clear and compassionate communication.
- Act as the liaison with external leave vendors to ensure accurate processing and adherence to policies.
- Coordinate with HR, management, and other departments to manage leave schedules and maintain operational coverage.
- Support and guide complex leave and accommodation cases, ensuring sensitivity, discretion, and policy compliance.
- Recommend updates to firm leave policies to reflect evolving legal requirements and best practices.
- Provide education and training to managers and staff on leave policies and procedures.
- Maintain and report on employee leave data to support trends analysis, compliance, and planning.
- Identify and implement process improvements to enhance efficiency and the employee experience of leave administration.
Benefits Administration:
- Provide timely, accurate, courteous, and appropriate responses to benefit-related employee inquiries.
- Ensure that the processing of all employee changes is completed accurately and timely, including hires, employment changes that affect eligibility, and terminations. This includes conducting benefits orientation for new hires.
- Possess in-depth knowledge of both benefits and the federal & state laws that govern them, including problem-solving issues, coordinating with an employee’s leave in accordance with the Family and Medical Leave Act (FMLA), or coordinating arrears deductions for life events.
- Responsible for actions related to the annual open enrollment, including the review of plan documents & materials and processing benefit elections.
- Perform quality checks and audits of benefits-related data.
Education and Experience Information:
- 5+ years of experience managing employee leaves and accommodations in a professional environment.
- 3-5 years of experience working with benefit operations and enrollments.
- Certification in Leave Management or Human Resources (., CLMS, PHR) is strongly preferred.
- Strong knowledge of federal and state leave laws including FMLA, ADA, PFML, and MN PLL.
- Excellent communication and interpersonal skills with a customer-service mindset.
- Demonstrated ability to manage confidential information and sensitive employee situations with professionalism and discretion.
- Strong analytical and problem-solving skills; ability to navigate complex cases and provide thoughtful, compliant solutions.
- Support the hybrid nature of the role by being present in-office generally two days per week, with three remote workdays.
Additional Qualifications:
- Experience with HRIS platforms such as Workday, UKG, ADP, or similar systems.
- Familiarity with vendor management in the context of employee benefits or leave administration.
Salary Information:
This is a full-time, 30 hours per week, exempt position. The estimated annual salary range is $56,250–$63,750, depending on experience and qualifications. Compensation may vary by geographic location and will be based on factors such as the candidate’s experience, education, skillset, and overall alignment with the role.
