Job Title: IP Billing Specialist
Job Responsibilities:
The IP Billing Specialist plays a critical role in managing the financial aspects of intellectual property services within the law firm. This position is responsible for overseeing both the billing and administrative functions of a complex and high-volume intellectual property portfolio. Key responsibilities include:
- Overseeing all aspects of intellectual property billing, ensuring accuracy and compliance with client guidelines.
- Generating, reviewing, and managing accurate and timely invoices for intellectual property services.
- Reviewing and editing pre-bills, ensuring time entries are correctly allocated to matters and comply with client policy.
- Tracking billable activities to determine billing milestones and communicate new or updated client policies to timekeepers.
- Drafting invoices based on partners’ mark-up, including write-offs, in accordance with firm policies/procedures.
- Identifying and resolving billing discrepancies by investigating issues and collaborating with internal teams.
- Performing time entry narrative changes with respect to additions, corrections, and deletions.
- Processing and submitting electronic LEDES invoices through various e-billing platforms (., BillBlast, Serengeti, TyMetrix), troubleshooting and resolving submission errors.
- Communicating with clients and attorneys to address billing inquiries and ensure timely payments.
- Reconciling client accounts to maintain accuracy in financial records and assisting with entering PTO vendor-related expenses.
- Preparing and analyzing billing reports for internal stakeholders and clients, identifying trends and areas for process improvement.
- Maintaining billing records and ensuring compliance with firm policies, industry standards, and intellectual property laws and regulations.
- Supporting the billing team in improving workflows and optimizing efficiency.
- Handling confidential client data securely and maintaining high ethical standards.
- Facilitating communication and collaboration between the Billing Department and the firm's Intellectual Property Department attorneys.
- Ensuring timely and accurate billing by managing the entire billing process from prebill review to final invoicing.
- Assisting with special projects and other tasks as assigned by the Billing Manager or Intellectual Property Department.
Education and Experience Information:
- Bachelor’s degree in Accounting, Finance, Information Technology, or a related field, or equivalent progressive experience.
- Previous experience in e-billing or billing, with knowledge of electronic billing systems including tracking status, troubleshooting, and working with clients/attorneys to resolve problems.
- Experience with intellectual property billing and matter management.
- Proficiency in using billing software and e-billing applications.
- Familiarity with Aderant Billing Software (preferred).
- Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
- Strong skills in reconciliation, financial reporting, and data entry.
- Excellent attention to detail and problem-solving abilities.
- Effective time management skills.
- A strong client service approach and team orientation, with the ability to speak effectively and respond to common inquiries or complaints from all levels of clients and professional support staff.
- Excellent interpersonal and communication skills necessary to maintain effective relationships with partners, attorneys, clients, and staff, exhibiting a high degree of responsiveness, diplomacy, and professionalism in these interactions.
- Knowledge and experience in client communication within the financial or legal industry.
Salary Information:
The law firm offers a generous total compensation package, which includes comprehensive health and well-being benefits, as well as 401k and profit sharing. The anticipated annual pay range for the IP Billing Specialist role is $75,000 to $80,000 (non-exempt). The actual offered pay rate will be determined based on various factors, including qualifications, experience, geographic location, education, external market data, and internal equity considerations.
