# Office Manager and Executive Assistant to CEO
Law firm is looking for an experienced Office Manager and Executive Assistant to CEO to manage the day-to-day operations of the office and provide executive support to the CEO. The ideal candidate will be a highly organized, detail-oriented individual with excellent communication, interpersonal, and problem-solving skills. The successful candidate will be a self-starter who can work independently and multi-task in a fast-paced environment with minimal supervision.
## Job Duties and Responsibilities
- Manage the day-to-day operations of the office, including but not limited to:
- Bookkeeping
- Accounts Receivable
- Client payments (cash, check, credit card)
- Payment list management
- Auto-Payment list and binder management
- Entering client payments (QB)
- Invoicing clients from fee agreements and charge sheets (QB)
- Monthly billing (QB)
- Client collection calls/emails
- Balance write-offs
- Accounts Payable
- Vendor account management
- Paying vendor accounts
- Entering bills and payments (QB)
- General
- Recording all deposits (QB)
- Entering all bank and credit card charges (QB)
- Filing Accounts Receivable
- Filing Accounts Payable
- Generate financial reports as needed
- Daily cash and checking account management
- Loan management (PayPal Working Capital, SBA, PPP, EIDL)
- Prepare all documents and forms for tax filing
- Administrative/HR
- Payroll
- Expense reimbursements
- Employee onboarding/exiting
- User/employee accounts admin (NetDocs, LLX, Lexis, ADP, Microsoft, Adobe, MyHours, Zoom, email)
- Medical and Dental insurance/benefit management
- First contact for any and all IT issues, printer/copier issues, phone issues, internet issues, etc.
- Work with IT on a regular basis
- Supply inventory and purchasing
- Employee recruitment/vetting/etc.
- Website editing & Facebook account management
- Travel arrangements and booking
- Firm, attorney, and notary registrations
- Employee management (annual reviews, self-evaluations, communication)
- General office organization and operation
- Point of contact for CBRE (building management)
- Assist CEO in managing **Members Only** government procurement work.
## Qualifications and Requirements
- Bachelor's degree preferred
- 3+ years of experience in an office management role
- Excellent organizational and time management skills
- Proficiency in QuickBooks and Microsoft Office Suite
- Ability to multi-task, prioritize tasks, and work independently
- Excellent written and verbal communication skills
- Ability to work in a fast-paced environment
- Ability to work with confidential information
- Ability to maintain professionalism and discretion
