Job Title: Sr. Paralegal Manager

Job Responsibilities:
As the Sr. Paralegal Manager at the law firm, the candidate will have the responsibility to plan, direct, and coordinate all aspects of firm-wide paralegal and case assistant activities. This role involves driving the strategic direction and management of recruiting, onboarding, integration, training, performance management, utilization, and work allocation for paralegals and case assistants. The candidate will work under the direction of a Senior Director and in collaboration with firm attorneys to manage financial and administrative matters for the Paralegal Department. Key responsibilities include:

- Analyzing existing paralegal processes and staffing structures, recommending and implementing changes as necessary. Introducing strategic and innovative approaches to process improvement with a focus on client service and productivity.
- Proactively addressing attorney and client paralegal support needs, monitoring utilization and realization of all paralegals and case assistants, and adjusting resources as appropriate to meet attorney and client needs across offices.
- Ensuring efficient workflow, substantive training, and proper communication of firm and administrative matters among paralegal and case assistant teams.
- Ensuring the success of paralegal and case assistant operations according to standard business metrics such as billable hours expectations, client and supervising attorney satisfaction, quality of work product, and compliance with all firm policies, including in-office work expectations.
- Collaborating with Office Administrators, Department Chairs, and Office Managing Partners in the on-site management of paralegal and case assistant productivity and effectiveness.
- Managing appropriate workloads, monitoring billable and non-billable work, and ensuring accurate and timely tracking of hours worked and billable hours.
- Consistently assessing staffing levels to ensure appropriate paralegal and case assistant ratio levels are maintained and making recommendations for change.
- Collaborating with Partners and Human Resources to recruit, interview, and hire paralegals and case assistants.
- Facilitating and coordinating annual performance evaluation and compensation review, in addition to providing continuous performance management and feedback to paralegals and case assistants.
- Partnering with the training department and supervisory attorneys to ensure overall proper training and professional development for paralegals and case assistants.
- Ensuring effective communication, collaboration, and cooperation between paralegals, case assistants, attorneys, and other functional departments.
- Building relationships with paralegal and case assistant teams as well as firm leaders and attorneys across the firm to accomplish responsibilities and goals.
- Performing other duties as directed by firm management.

Education and Experience Information:
- A Bachelor’s degree is required.
- A minimum of 7 years’ experience as a paralegal in a mid to large size law firm and a minimum of 5 years of managerial experience is required.
- Ideally, the candidate should have experience as a paralegal in both a litigation and transactional capacity.
- Demonstrated performance history of strong leadership, collaboration, communication, customer service, and problem-solving skills in a large law firm environment is necessary.
- The candidate should possess a high level of professionalism and interpersonal skills along with the ability to work well with lawyers and staff at all levels within the firm while maintaining confidentiality.
- Proven organizational and analytical skills are required.
- Demonstrated ability to lead and manage a team while providing performance counseling and working to resolve conflicts is essential.
- Knowledge of recruiting practices, employee relations, and paralegal compensation and billing systems is needed.
- The ability to resolve discreetly and effectively sensitive attorney and staff issues is required.
- The ability to work well in a fast-paced environment while managing multiple and changing deadlines is important.
- Demonstrated ability to do internal marketing while staying business-minded with a focus on department utilization as a business unit is required.
- The ability to pay close attention to detail is necessary.
- The ability to regularly report to work on the days and times scheduled is required.

Salary Information:
The salary for the Sr. Paralegal Manager role varies by location. The full-time salary range is:

- Chicago: $160,000-$175,000 annually, based on a 40-hour work week.
- Los Angeles: $175,000-$185,000 annually, based on a 40-hour work week.
- San Francisco: $175,000-$185,000 annually, based on a 40-hour work week.

The salary range is based on numerous factors including relevant education, qualifications, experience, skills, geographical location, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay. The law firm offers a comprehensive package of benefits including paid time off, medical/dental/vision insurance, and 401(k).
