Job Title: Administrative Assistant/Paralegal
Job Responsibilities:
- Serve as the first point of contact for clients and visitors, managing reception duties with professionalism and discretion.
- Answer, screen, and direct incoming phone calls; take accurate messages and respond to routine inquiries.
- Maintain client files (physical and electronic), ensuring all documents are organized, up-to-date, and confidential.
- Assist with scheduling appointments, court dates, and maintaining attorney calendars.
- Draft, proofread, and file legal documents and correspondence under attorney supervision.
- Support the associate attorney with trial preparation, discovery, and case management tasks.
- Communicate regularly with clients regarding case status, required documentation, and next steps.
- Coordinate with courts, opposing counsel, and other parties as needed.
- Perform general office duties, including copying, scanning, mail distribution, and supply inventory.
- Organize and prepare records for court filings and discovery.
- Assist and review records or document production.
- Maintain a high standard of client service and uphold the law firm’s reputation for excellence.
Education and Experience Information:
- Associate’s degree, paralegal certificate, or equivalent experience required.
- 1+ year(s) of experience in a law firm or legal setting preferred; experience in family law preferred.
- Alternatively:
- Associates degree in paralegal, legal assistant, or legal studies + 1 year experience as a paralegal or legal assistant.
- Certificate in paralegal, legal assistant, or legal studies program from an ABA approved school + 1 year experience as a paralegal or assistant.
- Associates Degree in any field + 2 years experience as a paralegal/legal assistant.
- 3 years full-time paralegal or legal assistant experience.
- Strong organizational and time management skills; ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and legal practice management software.
- Professional demeanor, discretion, and commitment to client confidentiality.
- Ability to work independently and as part of a team in a fast-paced environment.
Salary Information:
- Pay: - per hour
- Salary: Commensurate with experience, within the Capital Region market range
