Job Title: Executive Administrative Assistant
Job Responsibilities:
- Administrative Support: The Executive Administrative Assistant will assist with organizing attorney emails, updating questionnaires and databases, preparing and taking detailed minutes for team meetings, editing organizational documents, scheduling the Owner’s personal essential appointments, and supporting the owner with state and/or city licensing.
- Communication and Correspondence: The role includes serving as a liaison for team members, managing the CEO’s email inbox, and preparing correspondence, communications, and presentations.
- Office Assistance: Responsibilities include overseeing the purchase of office supplies, maintaining inventory, and ensuring the office is well-equipped and organized based on budget guidelines.
- Team Building and Professional Development: The assistant will organize quarterly team-building exercises, develop and maintain professional relationships with senior staff, and conduct research for reports to support continuous improvement and engagement.
- Event/Meeting and Marketing Coordination: Tasks include planning events (such as catering and menus), scheduling appointments, creating reminders, and coordinating/attending internal and external meetings to ensure smooth operations and managing marketing projects as needed.
- Travel Arrangements and Booking: The assistant will manage all aspects of travel for the team, ensuring all trips are well-coordinated, efficient, and in compliance with the firm’s travel policy.
Education and Experience Information:
- The candidate must have a high school diploma. Some college education and/or an associate’s degree is preferred, or equivalent experience in a similar role.
- A minimum of 3 years of experience as an Executive Assistant or in a similar administrative role supporting the Owner, C-Suite, or Senior Leadership is required.
- The candidate should have exceptional organizational and time-management skills, experience handling confidential information, and adhering to strict deadlines.
- A valid Driver’s license and a well-maintained vehicle are necessary.
- Strong communication and interpersonal skills are essential, along with the ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Word, and Excel, is required.
- The candidate must demonstrate a commitment to the law firm’s values of integrity, excellence, and collaboration.
Salary Information:
- The compensation for this position ranges from $60,000 to $70,000 yearly.
