Job Title: Senior Payroll Administrator

Job Responsibilities:
The Senior Payroll Administrator is tasked with overseeing the firm's multi-state payroll processing activities. This role ensures that all mandatory and voluntary withholdings and deductions are accurately calculated and reported to the appropriate tax entities in a timely manner. The Administrator is responsible for addressing payroll-related inquiries from employees across all levels of the firm and resolving any pay discrepancies. Key duties include running end-to-end payroll processes, processing bi-weekly and semi-monthly payrolls, and handling off-cycle and manual payments as needed. Additionally, the Administrator produces payroll reports, reconciliations, and audit reports, while maintaining communication with the Human Resources Department to ensure payroll data integrity related to new hires, terminations, transfers, leaves, and rate changes. The role also involves auditing non-exempt timecards for compliance with policy and regulatory requirements, reviewing computed wages to ensure accuracy, working closely with the benefits team for accurate benefit deductions, preparing journal entries, reconciling quarterly payroll tax filings, and collaborating with the talent operations team for appropriate time accruals. The Administrator partners with the HRIS team on payroll system implementations or enhancements and handles other duties and special projects as assigned.

Education and Experience Information:
The position requires a minimum of 6 years of experience with computerized payroll processing, with a preference for experience using Workday and ADP Smart Compliance. Candidates should have prior experience processing multi-state payrolls and handling multiple pay frequencies within a services organization, such as a law firm or financial services firm. Excellent customer service skills and the ability to communicate clearly and tactfully with co-workers and attorneys are essential. Proficiency in Microsoft Excel and Outlook is required, while knowledge of other Microsoft Office products is beneficial. Candidates must demonstrate integrity, discretion, and the ability to manage confidential and sensitive information appropriately. A Bachelor’s degree is preferred, but an Associate’s degree combined with payroll certification(s) is required. Relevant certifications include Certified Payroll Professional (CPP), Certified Payroll Manager (CPM), Certified Payroll Administrator (CPA), or other payroll certifications from organizations like the American Payroll Association or World at Work.
