Job Title: Front Desk Client Services Specialist - Bilingual

Job Responsibilities:

Client Interaction & Front Desk Duties:
- Serve as the first point of contact for clients, visitors, and callers.
- Answer incoming calls, route them to the appropriate team members, and take detailed messages when necessary.
- Greet and check in clients for consultations and appointments.
- Conduct intake for new clients and ensure they complete any necessary pre-consultation steps.
- Follow up with scheduled consultations to remind them of their appointments and ensure consultation fees are paid in advance.

Scheduling & Calendar Management:
- Schedule consultations for new clients and appointments for existing clients.
- Manage the firm’s calendar, ensuring appointments are appropriately scheduled and coordinated with attorneys and team members.
- Track and report client calls, consultations, and new client sign-ups for marketing and operational purposes.

Administrative & Client Services Support:
- Prepare and send representation agreements to new clients.
- Process initial and installment payments from clients in person or via telephone.
- Handle case closures and filing, ensuring all necessary documentation is properly stored and archived.
- Receive, sort, and distribute incoming mail and prepare outgoing shipments.

Marketing & Community Engagement:
- Participate in occasional firm marketing events.
- Assist with tracking consultation conversion rates and other client engagement metrics.

Education and Experience Information:

- Bilingual (English & Spanish) – Must be able to read, write, and speak fluently and grammatically in both languages.
- Strong Communication Skills – Professional and articulate phone, email, and in-person communication.
- Highly Organized & Detail-Oriented – Ability to manage multiple tasks efficiently without sacrificing quality.
- Self-Motivated & Independent – Can work with minimal supervision while maintaining high standards.
- Tech-Savvy – Experience using case management software, Microsoft Office, and online platforms is a plus.
- Customer Service Experience – Experience in a client-facing role involving in-person and telephonic client communications.
- Law Firm Experience is not required.

Salary Information:

- $18 per hour, based on experience.
