Sr. Client Billing Specialist
Job Responsibilities
The Sr. Client Billing Specialist is responsible for managing complex billing processes in a legal setting, ensuring accuracy and compliance with both firm and client guidelines. Key duties include:
- Performing daily billing activities to support attorneys, practice assistants, and clients.
- Managing complex billing processes requiring additional research and revisions.
- Editing attorneys' monthly proformas (pre-bills) and generating monthly invoices.
- Ensuring matters are correctly set up in the accounting system by verifying rates, AFAs, billing notes, and instructions.
- Conducting detailed reviews and audits of unbilled time and costs, including proofreading, updating spreadsheets, reconciling invoices, and reviewing and approving expense reports.
- Coordinating with other billing departments on joint billings and reconciling final invoices to the accounting system.
- Submitting electronic invoices to clients via designated electronic billing systems and managing e-billing rejections, short pays, and errors.
- Overseeing the timekeeper approval process, including matter access for time entry.
- Auditing and entering vendor invoices, following write-off approval protocols, and conducting monthly internal audits of write-offs.
- Monitoring e-billed invoice status and assisting the accounts receivable department in reviewing unpaid electronic invoice statuses.
- Creating, editing, streamlining, summarizing, and presenting complex data for attorneys, clients, or other administrative staff.
- Assisting Billing Manager or Manager of Accounting with training, guiding, and quality control for Client Billing Specialists.
- Evaluating opportunities to improve efficiency and effectiveness in resolving billing issues.
- Serving as the primary escalation point for complicated billing issues within the internal billing team.
- Preparing ad-hoc reports for internal and external clients and maintaining client reports and databases.
Additional Duties
- Performing other duties, responsibilities, or special projects as directed by the Billing Manager, Manager of Accounting, and/or lawyers.
Education and Experience Information
- A Bachelor’s degree in accounting or finance is strongly preferred, or equivalent legal/e-billing experience.
- A minimum of 3 to 5 years of legal billing and e-billing experience is required.
- Experience with e-billing using third-party vendors is necessary.
- Proficiency in MS Outlook and Word is required, with advanced proficiency in Excel.
- Knowledge of the HUB e-billing software and paperless proforma is advantageous.
- Advanced proficiency with Elite and various e-billing sites is required.
Salary Information
The compensation salary for the Sr. Client Billing Specialist position ranges from $61,000 to $115,000. The exact salary will be determined during the interview process and will vary based on multiple factors, including prior experience, relevant expertise, current business needs, and market factors.
Additional Abilities Required
- The position operates in an office setting and is largely sedentary, requiring routine use of a computer and other standard office equipment.
- The role may require the ability to open file cabinets, lift files, bend, and stand on a stool.
- The ability to work an adjusted schedule, overtime, and evenings/weekends/holidays to meet firm deadlines may be required.
