Job Title: Legal Administrative Assistant/Receptionist

Job Responsibilities:
The Legal Administrative Assistant/Receptionist is tasked with a variety of clerical and administrative responsibilities while serving as the initial point of contact for the office. Key duties include:

- Answering incoming telephone calls and directing them to the appropriate party.
- Managing calendars, scheduling meetings and appointments, arranging conference rooms, and escorting clients and visitors from the reception area to the designated conference room.
- Making travel arrangements as needed.
- Opening and distributing mail.
- Creating and editing correspondence, memoranda, pleadings, and transcribing dictation.
- Handling copying, faxing, and scanning documents in the appropriate format.
- Preparing documents for mailing and delivery through various services like . mail, overnight delivery, UPS, and couriers.
- Assisting in cultivating client relationships by becoming familiar with ongoing cases or matters, which enhances service quality and aids in client meeting preparations.
- Being knowledgeable about filing procedures, including electronic filing, and the necessary documentation required for various courts and entities.
- Entering time into Aderant for timekeepers.
- Processing paperwork to initiate new client files, creating files in the law firm's record management system, maintaining current files, and organizing files for off-site storage.
- Creating transmittal letters for monthly billing.
- Preparing expense reports.
- Maintaining an up-to-date address and telephone listing of clients for each assignment, ensuring accurate entry into the law firm's client relationship management system. This may also involve preparing mailing lists and labels for law firm-sponsored seminars and events.

Education and Experience Information:
- A high school level education or equivalent office work experience is required.
- A minimum of three years of prior legal secretarial experience is necessary.
- Proficiency with the Microsoft Office suite is essential.
- Experience in litigation and trust & estates is preferred.
- Excellent organizational skills and attention to detail are required.
- Demonstrated interpersonal skills, clear and accurate communication abilities, and a professional appearance and demeanor are essential.
