Job Title: Assistant
Job Responsibilities:
- Provide exceptional client service and administrative support to attorneys at the law firm.
- Act as a service liaison by serving as a knowledgeable resource about the firm and collaborating with various departments such as off-site word processing services, onsite Duplication and Office Services teams, Travel, Billing, and IT User Support to address technical/software issues and meet deadlines.
- Collaborate with other Assistants across offices and departments/teams to ensure efficient and high-level support for lawyers, practice groups, and case/deal teams.
- Handle intake, billing, and filings by onboarding new clients, opening new matters in accordance with Conflicts Department procedures, assisting lawyers with court filings, and acting as a liaison with the Court Services Department.
- Support lawyer and practice administration by understanding Litigation and Corporate practices and associated business and operational processes, working directly with case teams and vendors to support trial space selection, translation services, and court reporters.
- Provide support to trial and deal teams in a firm-billable project assistant capacity, including onsite assistance for trial teams, which may entail after-hours and weekend work and include travel.
- Work directly with deal teams to support drafting financing/M&A documents, signature packets, and closing binders.
- Assist with attorney case-related work such as document edits, research projects, and drafting client or government letters.
- Provide meeting and travel support, manage lawyers' calendars, email inbox, telephone calls, and messages, and maintain notary certification for providing notary services.
- Assemble marketing materials, request updates to lawyers’ biographies, maintain contacts in Outlook and firm CRM, conduct internet research, and coordinate with the knowledge services team for business development efforts.
- Update the business development team on lawyers’ activities and provide support for BD-related events.
Education and Experience Information:
- Proficiency in MS Office 2010 products (Word, PowerPoint, Excel, Outlook), Windows 7, Intapp time entry, Elite billing systems, ECF, State and Federal Court rules, Lexis Nexis, PACER, ALN, and eDocs.
- Minimum typing speed of 50 WPM.
- Excellent grammar, communication, and organizational skills.
- Ability to work under pressure, prioritize to meet deadlines, and work overtime as needed.
- Strong administrative skills, attention to detail, and experience in travel and meeting planning.
- Exemplary writing skills and forward-thinking, proactive approach.
- Must be able to keep projects on track while ensuring all parties are updated on the status of projects.
Salary Information:
- The salary range in California for this role is $70,000 - $105,000. The actual compensation offered to a candidate will depend on various factors including experience, qualifications, and location.
