Job Title: Administrative Assistant - Litigation

Job Responsibilities:
The Administrative Assistant - Litigation at the law firm is tasked with providing comprehensive legal administrative support to the assigned practice group, particularly in litigation. Key responsibilities include:

- Supporting a team of attorneys, particularly in national discovery management for product liability cases.
- Preparing, proofreading, and ensuring accuracy of legal documents, correspondence, and reports, while adhering to formatting guidelines.
- Conducting a high volume of electronic and non-electronic filings of legal documents with various courts and tribunals.
- Managing outgoing mail, including arranging specialized mail or messenger services, and ensuring all required documents and enclosures are included.
- Maintaining and organizing electronic and physical legal case files, ensuring proper document management and confidentiality, and closing files as necessary.
- Keeping track of case docketing schedules, including discovery deadlines, trial dates, and other legal hearing dates.
- Providing phone support by communicating with attorneys, opposing counsel, and courts.
- Exercising independent judgment to prioritize daily tasks and ensuring high-priority items are completed promptly.
- Entering attorney’s time from logs, diary notes, and correspondence for review using time entry software, and preparing and submitting invoices and expense reports.
- Assisting with new business intake processes and data entry tasks.
- Collaborating with other administrative assistants and legal support professionals to provide coverage and assist with work overflow to meet deadlines.
- Coordinating internal and external support services for attorneys, including vendors, interpreters/translators, and logistics.
- Performing additional administrative duties as assigned.

Education and Experience Information:
- A high school diploma is required, with a post-high school degree or equivalent legal educational training preferred.
- Three to five years of related work experience in a legal services environment is required, with experience in electronically filing legal documents with various courts being essential. Law firm experience is considered a plus.
- The candidate should be self-motivated, amiable, and resourceful, with the ability to work successfully with individuals at all levels of the firm and externally.
- The role demands acute time-management skills, keen attention to detail, superior organizational skills, and the ability to multitask and take initiative.
- The candidate should effectively track and manage large amounts of data and utilize new technologies for data tracking, reporting, and management.
- Excellent oral and written communication skills and a high degree of professionalism are required.
- The candidate should be a team player who can also work independently and is self-directed, with the ability to work well with a diverse group of individuals at all levels of the firm.
- Proficiency in Microsoft Office Suite, including Word (styles and tables), Outlook, Excel, and PowerPoint, is required. Knowledge of NetDocuments, Elegrity, File Trail, BigHand, and Chrome River is a plus.
- The candidate must maintain a high degree of discretion and confidentiality regarding client information, documents, and conversations.
- Flexibility to work overtime when required is necessary.
- A typing speed of 55 WPM or greater is essential.

Salary Information:
The salary range for the Administrative Assistant - Litigation position in Los Angeles is $56,000 to $78,000. The offered salary will be determined by various factors, including work location, individual skill set, previous and applicable experience, education, external market data, and consideration of internal equity.
