Job Title: Legal Assistant - Litigation
Job Responsibilities:
The Litigation Legal Assistant at the law firm is responsible for providing comprehensive legal administrative support to attorneys from the beginning to the resolution of cases. This role requires a high level of service quality to clients, with an emphasis on integrity and excellence. Key responsibilities include:
- Managing and prioritizing multiple projects and ensuring effective communication with clients, attorneys, staff, the Judiciary, and peers.
- Filing pleadings in state courts according to court requirements, with federal court experience considered a plus.
- Collaborating with various departments across the firm, including those responsible for case opening, conflict checking, billing, training, and records management.
- Drafting and proofreading correspondence, pleadings, and other legal documents with effective oral and written communication skills.
- Tracking firm, attorney, and client expenses and processing reimbursements and payments using application software.
- Assisting in client billing, including entering narratives, tracking billable tasks, making edits, calendaring billing due dates, and delivering bills to clients in both electronic and paper forms.
- Scheduling state court hearings and client appointments in coordination with attorneys, ensuring compliance with court requirements and deadlines.
- Organizing attorney business development events by planning and coordinating special events.
- Managing electronic and paper case files and handling incoming and outgoing mail and correspondence.
- Answering, screening, directing, and placing telephone calls and emails.
- Consistently delivering outstanding client service and quality.

Education and Experience:
Candidates must have five years of experience in a law firm, preferably as a litigation legal assistant with state court experience. Experience working with multiple attorneys is required.
Knowledge Requirements:
- Ability to work efficiently and effectively under pressure and time constraints.
- Ability to balance assignments and workflow from multiple attorneys effectively.
- Strong multitasking capabilities and the ability to handle multiple responsibilities and high volume.
- Strong attention to detail, initiative, and follow-through.
- Effective oral and written communication skills, including the ability to clearly express thoughts and exchange information.
- Ability to establish and maintain effective working relationships with employees, other departments, vendors, and the public.
- Proficiency in Microsoft Office, including extensive knowledge of Outlook, Word, and Excel, and experience with law firm case management and billing software. Knowledge of FileSite, CMS, SmartTime, and Aderant is a plus.
- Ability to work collaboratively within a group and individually to ensure client satisfaction, including understanding client concerns and building trust.
Additional Information:
Work hours are Monday to Friday, 9:00 . – 5:30 ., with a one-hour lunch. Overtime work may be required occasionally. Physical attendance at the workplace is required. The position offers a great benefits package, including paid holidays, PTO, 401(k), health benefits, and more.
