Job Title: Marketing Administrative Assistant
Job Responsibilities:
- Support marketing and business development aspects of attorney onboarding and offboarding processes.
- Assist with marketing department onboarding and offboarding.
- Manage team memberships and coordinate conference attendance in professional development organizations, such as the Legal Marketing Association.
- Generate competitive intelligence reports using DNB Hoovers and Monitor Suite.
- Proofread RFPs, pitches, press releases, and other deliverables as needed.
- Prepare and edit documents, reports, and presentations in Microsoft Excel, Word, and PowerPoint, and coordinate the distribution of materials as needed.
- Organize and maintain department files and records.
- Plan, schedule, and coordinate meetings and appointments, along with any required resources.
- Manage special projects and conduct research to support departmental initiatives.
- Arrange travel and accommodations for guests and team members.
- Coordinate across departments to manage invoice payments and expense reports.
- Attend events, seminars, and receptions as firm host as needed or requested, including assistance with set-up and registration table work.
- Manage Chambers submissions, including creating and updating spreadsheets, compiling Chambers packets in Foundation, updating website bios, submitting files on the Chambers website, and maintaining updated submission records in Foundation.
Education and Experience Information:
- Bachelor’s degree preferred.
- 3+ years of administrative or clerical experience required.
- Experience in a law firm or professional services environment strongly desired.
- Must be highly organized and detail-oriented.
- Must have the ability to communicate effectively and with a high level of professionalism.
- Must have excellent writing, editing, and proofreading skills.
- Proficiency in Microsoft Office applications.
- Must be able to manage several tasks simultaneously in a deadline-oriented environment.
- Must be an independent self-starter capable of managing and prioritizing multiple needs and responsibilities.
- Must be resourceful and possess strong problem-solving skills.
- Must possess exemplary client service and teamwork skills.
- Must have a commitment to high quality, and an attitude of professionalism and flexibility.
