Job Title: Client Data Specialist
Job Responsibilities:
The Client Data Specialist at the law firm is tasked with the entry and management of client, matter, and timekeeper data within the firm's software applications. This role is crucial in serving as a liaison between internal and external clients to ensure optimal client service, satisfaction, and retention. The responsibilities include:
- Ensuring data integrity in systems such as 3E, Case Management, and Intapp Open.
- Synchronizing and maintaining data flow between these systems.
- Corresponding with attorneys and designated client contacts as necessary.
- Preparing new client/matter reports for firm-wide distribution.
- Coordinating the entry of firm-wide client, matter, timekeeper, and user access information into the 3E system.
- Maintaining client and matter information in the 3E database, including updating billing information, managing rate tables, recording name changes, updating attorney designation changes, updating matter status, and editing other 3E fields as requested.
- Coordinating the entry of client case information into client case management systems.
- Following up with firm personnel regarding clients and matters.
- Assisting with client development projects related to financial systems.
- Conducting training and providing support to the legal support team on the firm's intake system.
- Reviewing, analyzing, and summarizing Outside Counsel Guidelines and setting 3E accordingly to ensure client compliance.
- Serving as a liaison with Accounting, Conflicts, and Information Governance teams to maintain efficiency and accuracy in the exchange of information utilized and maintained in client, matter, and timekeeper profiles and other area systems.
- Escalating issues or problems to firm leadership that prevent or hinder the delivery of high-quality support to clients.
- Participating in special projects as assigned.
- Performing other duties as assigned.
Education and Experience:
- A high school diploma or GED is required for this position. An associate degree is preferred.
- The role requires 2-3 years of relevant experience, preferably in a law firm environment.
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel, is necessary.
Salary Information:
The compensation for the Client Data Specialist position varies based on skills, experience, location, and other legal factors. The expected compensation ranges for this position in various states and jurisdictions are as follows:
- State of California: $53,000 - $102,000
- State of Colorado: $49,000 - $88,000
- State of Illinois: $48,000 - $94,000
- State of Massachusetts: $53,000 - $102,000
- State of Maryland: $52,000 - $78,000
- State of Minnesota: $53,000 - $88,000
- Jersey City, NJ: $58,000 - $105,000
- State of New York: $50,000 - $107,000
- State of Washington: $52,000 - $98,000
- Washington, .: $69,000 - $101,000
These salaries do not include a discretionary bonus, which is non-guaranteed and dependent upon individual and firm performance.
