Job Title: Office Assistant
Job Responsibilities:
The Office Assistant at the law firm is primarily responsible for supporting the Director of Administration in the Dallas office. The key responsibilities include:
- Providing general administrative support by partnering with the local office leadership team and acting as a resource for the office.
- Producing various monthly reports and handling check requests and rush checks.
- Assisting in the coordination of local office events in collaboration with different departments.
- Partnering with the office leadership team to support recruiting efforts for local staff positions in the Dallas office.
- Utilizing the firm's applicant tracking system, viRecruit, to manage open positions and candidates effectively.
- Reviewing applications, scheduling interviews, completing pre-employment checks, and performing other recruiting-related tasks for local staff positions.
- Entering new hires into the firm's onboarding platform and collaborating with various departments to ensure proper and timely setup for new hires.
- Assisting with new hire orientations and supporting the completion and review of I-9 forms.
- Coordinating federal, state, and city labor law posters to ensure compliance in the Dallas office.
- Maintaining all files for the Business Office.
Education and Experience Information:
- A college degree is highly preferred but not required.
- A minimum of four years of administrative experience is required. Prior experience in a law firm or professional services environment is a plus.
- Demonstrated high proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Experience with onboarding platforms, such as SilkRoad, and applicant tracking systems, particularly viRecruit, is strongly desired.
Qualifications:
- Ability to maintain the confidentiality of personal and highly sensitive information.
- Effective communication skills, both written and verbal, to interact with all levels of leadership.
- Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
- Strong attention to detail.
- Demonstrated knowledge of general Human Resources practices and principles, as well as federal and state regulations.
- Critical thinking and sound judgment with the ability to analyze and resolve problems.
- Flexibility to work overtime and weekends, based on department needs, is required.
Salary Information:
The annual compensation range for this position is $65,000 to $80,000. The salary offered within this range will depend on qualifications and other operational considerations.
