Job Responsibilities
The Immigration Client Intake Specialist plays a crucial role in one of the largest law firms in the United States, focusing on business immigration. The primary responsibilities include:
- Communicating with client contacts to gather all necessary information for file creation, case assignment, documentation, and billing.
- Maintaining internal status updates related to intake cases.
- Inputting data into VisaTrax/InsZoom systems.
- Collating documentation for the physical file.
- Coordinating and scheduling calls and maintaining attorney calendars.
- Copying and assembling case files.
- Scanning and saving case files to the firm's document management system.
- Monitoring the inbox for incoming visa requests.
- Processing initiation requests by entering them into VisaTrax/Zoom and sending necessary questionnaires to the Visa Beneficiary (VB) and US managers.
- Using firm systems to create client-matter billing numbers and file barcodes.
- Initiating extension cases assigned.
- Requesting client matter numbers via Workflow for file creation.
- Following up daily with VBs and US managers for any documentation or questionnaires yet to be submitted.
- Updating case status daily.
- Scanning and submitting requests for educational evaluations.
- Assembling case files for attorney review.
- Updating VisaTrax/InsZoom once the evaluation is received.
- Assigning cases to the case manager for processing.
- Processing and responding to a high volume of client inquiries, including timeframe of filing, explanation about questionnaires, status updates, and document verification.
- Closing files that will not continue to be processed.
Education and Experience Information
- A Bachelor’s degree from an accredited college or university is preferred.
- A minimum of 2+ years of office/administrative experience is preferred.
- Flexibility to work additional hours when necessary to meet firm objectives.
- Ability to work well independently and as part of a team.
- Must be able to achieve basic proficiency in Outlook, Word, Excel, InsZoom/VisaTrax, and DMS within a reasonable training period.
Salary Information
The salary for this position varies depending on the geographic location, experience, and other job-related factors as permitted by law. The expected salary ranges are as follows:
- Colorado: $49,200 - $73,800
- New York State: $44,720 - $81,600
- California: $49,200 - $81,600
- Washington: $51,680 - $77,520
- Washington, .: $51,680 - $77,520
- Baltimore, Maryland: $46,080 - $69,120
- New Jersey: $54,400 - $81,600 and $83,800
- Illinois: $51,680 - $77,520
