Job Title: Senior Billing Coordinator
Job Responsibilities:
The Senior Billing Coordinator at the law firm is tasked with managing the unbilled inventory for top revenue-producing clients and attorneys. This role encompasses all duties of a Billing Coordinator, which include coordinating and executing the entire billing process for assigned billing attorneys and clients, editing prebills, processing and transmitting client invoices, maintaining billing information, and resolving billing inquiries. This position specifically does not involve any collections activities.
Key responsibilities include:
- Performing complex billing, including alternative fee agreements (AFAs), hybrid billing arrangements, consolidated bills, split bills/multi-payors, action codes, and insurance billing, which may involve deductible invoices to the insured.
- Thoroughly understanding the firm's, clients', matters', and exception rates and discounts.
- Demonstrating a working knowledge of client guidelines for assigned attorneys and clients.
- Proactively addressing errors that may delay uploads or cause invoice rejections.
- Independently analyzing and solving ebilling rejections without additional escalation.
- Facilitating the setup of clients transitioning to electronic billing or changing electronic billing vendors to ensure a smooth transition.
- Consistently processing more than 500 invoices monthly, with a significant component consisting of electronic billing, all with minimal errors.
- Ensuring superior levels of client service in interactions with internal and external clients, vendors, and other third parties.
- Researching and recommending constructive solutions to reduce or eliminate inefficiencies.
- Assisting with onboarding and training new team members.
- Serving as a resource to colleagues and a mentor to billing coordinators.
- Participating in firm-wide and departmental projects and initiatives.
- Performing other duties and responsibilities as assigned.
Education and Experience Information:
The position requires a Bachelor's degree or a combination of equivalent education and work experience. Candidates should have five or more years of relevant experience, preferably with a mid- to large-size law firm or professional services firm, though other billing experience may be considered. Extensive knowledge and experience using Aderant, Elite, or SAP billing platforms is required, with Aderant experience being a plus. Strong skills in electronic billing across a wide variety of client billing systems are essential. Prior experience using eBillingHub or BillBlast is desirable. Proficiency in Microsoft Office, including Word and Excel, is required. Candidates should have the ability to calculate figures and amounts such as discounts, percentages, and billing rates.
Applicants should have a thorough understanding of firm and finance department policies and procedures, with the ability to identify issues and enforce compliance with those policies and procedures. Demonstrated initiative and a consistent ability to identify and communicate opportunities to improve existing processes are important. The role demands demonstrated analytical skills, strong critical thinking, and the ability to spot problem areas and propose solutions. Experience with complex billing needs and requirements, including the ability to manage multiple moving pieces for specialized practice groups, is essential.
Candidates should possess strong organizational and time management skills, strong attention to detail, and exceptional follow-through skills. The ability to work under pressure, manage multiple projects with competing deadlines and priorities, and maintain a client service mentality with the ability to build strong positive team relationships is required. Excellent communication and interpersonal skills are necessary to present problems and solutions clearly, concisely, professionally, and accurately when interfacing with attorneys, clients, and other third parties.
The role requires demonstrated ability to take responsibility and initiative, be proactive and innovative, and exhibit a results-oriented mentality. The ability to work independently or collaboratively as needed and a willingness to keep asking questions to fully understand the root cause of issues and be persistent in developing and driving towards solutions are important. The ability to occasionally work outside of established business hours and adjust personal schedules to meet deadlines is also necessary.

Compensation is determined based on the market in which the position is located, the responsibilities of the position, the experience, education, and skills of the applicant, and other job-related factors. The salary range for this position for individuals physically located in Chicago, San Diego, and Washington . is to per hour. For individuals physically located in Denver, the range is to per hour.
