Position Overview: The Legal Client Coordinator is integral to maintaining communication between the firm and its clients while ensuring that attorneys are organized and fully prepared for court appearances. This role involves managing attorney calendars, tracking court dates, and communicating important case developments to clients in a timely and professional manner.
Key Responsibilities:
- Draft and send monthly status letters to clients that summarize case progress and outline upcoming steps.
- Notify clients promptly about upcoming court dates, hearings, and any developments in their cases.
- Manage and maintain multiple attorney calendars to ensure that all court appearances, deadlines, and client meetings are accurately scheduled.
- File continuance requests as necessary and assist in resolving scheduling conflicts with courts and opposing counsel.
- Update internal case tracking systems with court dates, filings, and legal milestones.
- Confirm hearing dates with court staff and relay updates to the legal team and clients.
- Maintain thorough communication logs and documentation within client files.
- Respond to client calls and emails with professionalism, empathy, and clarity.
- Collaborate closely with attorneys to ensure they are prepared for scheduled court appearances and that client communication aligns with case timelines.
Qualifications:
- Experience in a legal office, court support, or administrative coordination role is preferred.
- Strong written and verbal communication skills.
- Excellent attention to detail and organizational abilities.
- Ability to manage multiple priorities and meet time-sensitive deadlines.
- Familiarity with court procedures and terminology is advantageous.
- Proficiency in Microsoft Office and a willingness to learn firm software platforms such as Dubsado and Asana.
- Ability to file continuances and communicate professionally with court staff.
- Experience using legal case management software like Filevine, MyCase, Clio, or similar platforms.
