Legal Secretary Responsibilities: Manage a complex calendar using a high level of tact and integrity. Handle and maintain client relationship materials including: waiver requests, engagement letters, master terms of engagement, and client approved billing rates. Review and prioritize all client and other communications including emails and phone calls. Handle administrative confidential/sensitive firm and/or client information. Document preparation, editing, file maintenance and client billing. Make complex travel arrangements including air, hotel, etc. Coordination of internal and external meetings, including room reservation, catering, etc. Coordinating, preparing and reconciling expenses using Chrome River expense system. Producing accurate documents and general correspondence in a timely matter. General follow-up in order to effectively meet deadlines and commitments. Cover desks and responsibilities of other secretaries during absences. Maintain client contact information in Interaction system. Other duties may be assigned to fully meet the requirements of the position.
Qualifications: 5+ years of administrative support experience within a large organization; experience within a legal department, law firm, accounting or financial services firm preferred. High level of administrative and organizational skills, including excellent verbal and written communications skills. Strong knowledge of MS Office, including Word, Excel and PowerPoint. Demonstrated ability to take the initiative to spot problems before they arise, find solutions and provide timely follow through on projects. High level of integrity required for handling confidential and sensitive information. Demonstrated ability to work with a sense of urgency and under pressure as needed to handle multiple tasks and prioritize effectively. Punctual and reliable with a close attention to detail. Ability to interface effectively and diplomatically with partners and legal secretaries across the firm.
