Job Responsibilities
- Assemble and manage confidential and sensitive information, resolving issues with internal and external clients via phone or in person.
- Edit and prepare client bills substantively.
- Maintain calendars for meetings, appointments, business travel, and special events.
- Coordinate meetings, conferences, and special events, preparing and distributing related materials in advance.
- Compose and format legal documents, reports, and presentation materials, ensuring accuracy in spelling, punctuation, and grammar.
- Collect, enter, and edit time for client billing purposes.
- Coordinate domestic and international travel and manage travel and expense reimbursements.
- Prepare firm communications, correspondence, and presentations in collaboration with the law firm's marketing department or other resources.
- Receive and screen telephone calls according to office policy and individual preferences, referring matters to appropriate staff and resources.
- Open, sort, and distribute mail in compliance with office policy and individual preferences.
- Assist firm leadership, practice group leaders, and/or business managers with administrative or operational tasks as necessary.
- Maintain physical and electronic filing systems to ensure accurate and efficient retrieval of information.
- Understand firm policies and procedures, directing questions to other staff and resources as needed.
- Assist attorneys or staff with team support as needed.
- Perform other duties based on the unique practice of assigned attorneys.
Qualifications
Knowledge, Skills, and Abilities
- High level of quality client service to both internal and external clients.
- Ability to follow directions and work effectively both independently and with others in a cooperative, enthusiastic, and friendly manner.
- Proficiency in using MS Office to produce high-quality written communications such as memos, spreadsheets, presentations, and standard legal documents.
- Thorough command of the English language, including excellent spelling, grammar, and punctuation skills.
- Ability to communicate clearly and effectively, both orally and in writing.
- Ability to perform both routine and non-routine tasks with attention to detail and efficiency.
- Ability to adapt to changing priorities, meet deadlines, and manage workload.
- Ability to coordinate a variety of initiatives.
- Technical knowledge or guidance to analyze and interpret data from several sources and solve problems by applying precedent or extrapolating from previous experience.
- Exercise sound judgment and discretion in handling and maintaining confidential information and data.
- Represent the firm with honesty, integrity, and professionalism, consistently acting in an ethical manner.
- Working knowledge of legal terminology and procedures.
- General knowledge of documents, business processes, operation of standard office equipment and software.
- Ability to accurately type 80 words per minute.
- Ability to work overtime hours as requested.
- Ability to safely lift, move, and carry items without assistance, weighing up to 25 lbs.
Education
- High School Diploma or GED required.
- AA/BA/BS degree or equivalent specialized training is a plus.
- Bi-lingual speaking skills are also a plus.
Experience
- Seven (7) years of administrative experience required.
Salary Information
The law firm offers a competitive compensation and comprehensive benefits package, including healthcare, vision, dental, retirement, all-purpose leave, backup childcare, wellness programs, cultural events, and social activities. The salary range for this position is $75,800-$99,600, with additional compensation potentially including a discretionary bonus. The salary may vary based on location, market data, applicant’s skills, prior experience, certain degrees and certifications, and other factors.
