Job Title: Practice Assistant - Cross Border Practice
Job Responsibilities:
The Practice Assistant in the Cross Border Practice Group at the law firm plays a crucial role in supporting the delivery of quality legal services to clients. The position involves providing secretarial and administrative assistance to attorneys and performing complex and specialized secretarial and clerical tasks. The Practice Assistant works under the direction of assigned attorneys and paralegals on a day-to-day basis. The responsibilities include:
- Preparing Documents: Utilizes word processing and document management software to prepare and process correspondence, memoranda, and complex legal documents according to each practice group's requirements. Independently drafts routine cover letters and documents, proofreads for formatting, spelling, and grammar, and prepares revisions and redlines as directed. Prepares documents for e-filing as required.
- Processing Mail: Reviews and routes incoming mail and fax communications. Prepares and processes outgoing mail and faxes, arranging for specialized mail or messenger services as necessary. Ensures inclusion of all attachments, exhibits, and enclosures.
- Maintaining Calendar: Updates and maintains calendars for assigned attorneys, managing meetings, appointments, due dates, and client-related activities.
- Maintaining Files: Manages paper and electronic files in compliance with internal policies, performs routine filing, retrieves files as needed, and maintains chronological and administrative files for assigned attorneys.
- Timekeeping: Prepares time entries for assigned attorneys and submits them timely. Handles expense reimbursements and disbursement requests. Prepares billing letters and coordinates client billing matters with the Billing Department.
- General Administrative Support: Prepares and processes new matter documents, screens phone calls, directs clients and visitors, coordinates travel arrangements, schedules meetings, and arranges conference rooms and meals. Communicates effectively and professionally with clients and others in the law firm. Anticipates business needs of assigned attorneys, plans ahead, and meets deadlines.
- Additional Responsibilities: May assist with mentoring new office staff and piloting new software.
Education and Experience Information:
- The candidate must have .
- Requires knowledge of legal terminology, legal documents, and legal processes.
- Accurate typing skills of at least 70 words per minute are essential.
- Strong computer proficiency in MS Office, document management, time entry, e-filing, and database software is necessary.
- Excellent communication skills, both written and verbal.
- Understanding of correct grammar, spelling, and punctuation.
- Strong proofreading skills.
- Superior organizational skills, including filing, calendaring, and proofreading.
- Effective time management skills and the ability to work independently as well as collaboratively in a team setting.
- Regular and predictable attendance is required.
Salary Information:
In accordance with New York State's Wage Transparency Law, the expected salary range for this New York State position is between $53,360 and $116,160. In accordance with the Illinois Equal Pay Act Transparency Notice, the expected salary range for this Illinois position is between $50,720 and $110,400. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law.
