Job Title: Legal Administrative Assistant

Job Responsibilities:
The Legal Administrative Assistant for the Trusts & Estates department plays a crucial role in supporting the legal team by performing various administrative functions. The main responsibilities include:

- Coordinating client appointments and meetings to ensure timely and efficient scheduling.
- Providing excellent client service to maintain strong client relations.
- Preparing engagement letters and processing conflicts to onboard clients effectively.
- Entering, reviewing, and revising attorney timesheets and transmitting invoices via email to clients.
- Preparing documents for client meetings and serving as a witness/notary during will signings.
- Drafting standard cover letters for correspondence, memoranda, and other legal documents.
- Submitting attorney expense reimbursements promptly.
- Maintaining and organizing both physical and electronic files for easy access and retrieval.
- Assisting as backup to other Legal Administrative Assistants within the office as needed.
- Performing other related duties as assigned by the Supervising Shareholders and Director of Administration.

Education and Experience Information:
The Legal Administrative Assistant position requires:

- A minimum of five (5) years of legal assistant experience in a law firm environment.
- Strong organizational skills and attention to detail to manage multiple tasks efficiently.
- A solid understanding of the legal billing process to ensure accurate and timely invoicing.
- Proficiency in using MS Office applications (Word, Excel, PowerPoint, and Outlook), Document Management System, Time Entry, e-Filing, and database software.
- Flexibility to adapt in a dynamic work environment and excellent teamwork skills.
- The ability to take initiative as a self-starter to ensure deadlines are met.
- Physical capability to sit at a desk for prolonged periods and occasionally lift up to 15 pounds.
