Job Title: Litigation Secretary
Job Responsibilities:
- Formatting legal documents such as briefs, pleadings, and correspondence.
- Filing legal documents with state and federal courts, requiring e-filing knowledge.
- Regular proofreading of documents to ensure accuracy and completeness prior to distribution or filing.
- Updating and maintaining client files.
- Managing attorney calendars using Outlook and CompuLaw, including scheduling appointments and calendaring due dates.
- Organizing and coordinating travel arrangements for assigned attorneys.
- Accurately entering, reviewing, and revising timekeeper timesheets, ensuring consistent identification of litigation codes when applicable.
- Preparing attorney reimbursements and mileage reports.
- Providing friendly and helpful telephone support for assigned attorneys and receptionist relief.
- Reviewing vendor invoices for accuracy, preparing check requests, and submitting invoices for payment to clients or accounting.
- Participating in the review and submission of pre-bills and/or client bills.
Education and Experience Information:
- Minimum of a high school diploma required; a college degree is preferred but not required.
- A minimum of five years of experience as a legal secretary is required.
- Experience with Lexis Nexis, Pacer, ECF, CompuLaw, and Concur is necessary.
- Demonstrated knowledge of legal terminology, legal documents, and legal processes in the Litigation Department, including the ability to mark and generate tables of contents and tables of authorities.
- Strong computer proficiency in MS Office (Word, Excel, PowerPoint, and Outlook), Document Management Systems, Time Entry, e-filing, and database software.
