Job Title: Practice Assistant - Cross Border Practice
Job Responsibilities:
The Practice Assistant in the Cross Border Practice Group at the law firm is responsible for delivering quality legal services by providing secretarial and administrative support to attorneys. Key duties include:
- Preparing Documents: Use word processing and document management software to prepare and process correspondence, memoranda, and complex legal documents. Draft routine cover letters and documents, proofread for formatting, spelling, and grammar, and prepare revisions and redlines. Handle e-filing as required.
- Processing Mail: Review and route incoming mail and faxes. Prepare and process outgoing mail and faxes, arranging specialized mail or messenger services when needed. Ensure all attachments, exhibits, and enclosures are included.
- Maintaining Calendar: Keep and update calendars for assigned attorneys, including meetings, appointments, due dates, and client-related activities.
- Maintaining Files: Manage paper and electronic files in compliance with internal policies, perform routine filing, and retrieve files as needed. Maintain chronological and administrative files for assigned attorneys.
- Timekeeping: Prepare time entries for assigned attorneys and submit them promptly. Handle expense reimbursement and disbursement requests. Prepare billing letters and coordinate client billing with the Billing Department.
- General Administrative Support: Handle new matter documents, screen phone calls, direct clients and visitors, coordinate travel arrangements, and prepare itineraries and travel expense reports. Schedule meetings and arrange conference rooms and meals. Communicate effectively with clients and colleagues, anticipate business needs, plan ahead, and meet deadlines.
- Additional Duties: May assist with mentoring new office staff and piloting new software.
Education and Experience Information:
- A minimum of 4 years of experience as a practice assistant or legal secretary is required.
- Knowledge of legal terminology, legal documents, and legal processes is essential.
- Must have accurate typing skills of at least 70 words per minute.
- Strong computer proficiency in MS Office, document management, time entry, e-filing, and database software is necessary.
- Excellent written and verbal communication skills are required.
- Understanding of correct grammar, spelling, and punctuation is important.
- Strong proofreading skills and superior organizational skills, including filing, calendaring, and proofreading, are needed.
- Time management skills and the ability to work independently and as part of a team are essential.
- Regular predictable attendance is required.
Salary Information:
In accordance with New York State’s Wage Transparency Law, the expected salary range for this New York State position is between $53,360 and $116,160. In accordance with the Illinois Equal Pay Act Transparency Notice, the expected salary range for this Illinois position is between $50,720 and $110,400. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law.
