Job Title: Senior Coordinator, Billing
Job Responsibilities:
The Senior Coordinator, Billing is primarily responsible for managing the client billing process for an assigned group of partners within the law firm. This role involves the preparation and processing of all client bills and requires direct communication with partners, associates, practice assistants, and other members of the Finance department. Key responsibilities include:
- Timely distribution of monthly proformas to assigned partners.
- Preparation and revision of draft bills, including processing partners’ comments and revisions.
- Ensuring accurate and timely completion of assignments and inquiry responses in compliance with the firm's guidelines and policies.
- Preparing, submitting, and monitoring e-bills through various intermediary systems.
- Reviewing proformas/draft bills to ensure compliance with any global agreements in place for the client.
- Confirming that applicable rates and fee arrangements are properly reflected on all matters to ensure proper client billing.
- Proactively communicating with billing partners regarding matter billing status and other ad hoc queries.
- Liaising with the Manila Billing Team to assist with the generation of proformas and preparation of draft/final invoices.
- Coordinating with Cash Receipts and Accounts Payable teams to resolve any payment or vendor inquiries.
- Maintaining detailed billing notes and files on each assigned partner.
- Escalating issues to the Senior Manager of Billing and Regional Director of Finance as they arise.
Additional responsibilities may include ad-hoc analysis requested by partners or clients, client requests involving tracking monthly accruals, budgets, and submission for approval of timekeeper rates, and assisting other Coordinators as required.
Education and Experience Information:
- A Bachelor’s degree with a concentration in Business, Accounting, or Finance is preferred.
- A minimum of 3 years of legal billing experience is strongly preferred.
- A thorough understanding of billing processes and procedures is required.
- Proficiency in Microsoft Office applications, including Excel (., Pivot Tables and Data Analysis), is preferred.
- Strong communication skills and the ability to interact at all levels are essential.
- Exceptional attention to detail and the ability to see an issue through from start to finish are required.
- The ability to organize workflow, use time efficiently, anticipate work needs, and follow through with minimal direction is necessary.
- Exceptional determination, self-motivation, interpersonal skills, and resolve are required.
- Knowledge of 3E or Elite Enterprise is preferred.
- Knowledge of a wide variety of e-billing vendor software is preferred.
Salary Information:
Salary ranges for this position vary by market location:
- New York market: 73,600 - 119,600 US Dollars (USD) Yearly
- Washington . market: 73,600 - 119,600 US Dollars (USD) Yearly
- Salary range in other markets will vary.
