Job Title: Legal Assistant
Job Responsibilities:
- Provide administrative support for general office duties, including printing, scanning, and copying.
- Arrange for couriers, court reporters, expert witnesses, and other special functions.
- Assist with proper case screening and origination processes, including conducting initial conflict checks in collaboration with the Records Department.
- Create and maintain a reliable and accurate filing system for electronic documents.
- Attend and take notes at meetings.
- Manage incoming phone calls on behalf of assigned attorneys.
- Close concluded matters as directed by attorneys.
- Frequently correspond with the internal billing department.
- Draft and proofread correspondence, discovery, minutes, pleadings, contracts, and various other documents.
- E-file documents via NJ E-Courts, New York State Courts Electronic Filing (NYSCEF), and PACER.
- Input attorney time into timekeeping software as requested.
- Maintain accurate client file legal documents both physically and electronically.
- Manage attorney calendars by planning and scheduling meetings, appointments, and both onsite and remote conferences.
- Prepare check requests and submit purchase orders as needed.
- Prepare expense reports.
- Prepare transmittals for quarterly Sound Exchange disbursements.
- Redact, bate stamp, and organize documents for production.
- Update contact information for attorneys.
- Perform other duties as assigned.
Education and Experience Information:
- required.
- Minimum 1-2 years of law firm experience, ideally in Intellectual Property.
- Ability to function well in a high-paced environment.
- Ability to maintain confidential and sensitive information and exercise discretion and good judgment.
- Effective time management skills and excellent organizational skills.
- Excellent verbal and written communication skills.
- Proficient understanding of legal terminology and principles, research methods, and court processes.
- Strong analytical and problem-solving skills.
- Strong attention to detail, particularly in proofreading.
- Strong technology skills and proficiency in Microsoft Office Suite.
Certifications:
- Notary preferred.
Salary Information:
- Compensation range $60,000 - $70,000, dependent upon relevant experience.
Work Hours:
- Full-time, non-exempt position.
- Monday to Friday, 9:00 . – 5:00 ., with a one-hour lunch.
- Overtime (over 40 hours) may be required from time to time.
