Job Responsibilities
A Legal Secretary’s primary goal is to relieve the attorney(s) and paralegal(s) they work with of routine tasks involved in the practice of law, enabling them to focus on more substantive and valuable tasks. The Legal Secretary participates in any aspect of a client’s matter that does not require a bar license. However, Legal Secretaries may not speak on the record, sign pleadings and briefs, set or recommend legal strategy, or supervise the production of legal work.
Client Focused Tasks
- Interact with clients and build relationships by phone, email, and in person.
- Follow up for client questionnaires and documents.
- Schedule all client calls and meetings.
Attorney Focused Tasks
- Prepare and ensure the execution of agreements and documents, including simple letters, pleadings, court forms, and communications.
- Finalize documents approved by attorneys for delivery to courts, clients, co-counsel, and opposing counsel.
- Notarize documents.
- Prepare and e-file documents.
- Proofread and double-check documents before they leave the office.
- Interact with courts and administrative agencies regarding hearings, motions, other appearances, and deadlines.
- Serve as the primary point of contact with the courts for all administrative and scheduling issues.
- Calendar and docket deadlines, such as demand letter response dates and annual list renewals.
- Contribute to the Trial Notebook with received information.
- Conduct conflict checks per policy and procedure for all new names throughout the engagement.
Administrative Tasks
- Organize the attorneys’ deliverables, including preparing trial binders, new entity binders, and trust binders.
- Maintain and organize attorneys’ calendars and send reminders.
- Ensure that attorneys’ calendars are accurately maintained and organized, proactively rescheduling lesser priorities when double bookings are discovered.
- Provide daily reminders of in-office and Zoom appointments to attorneys.
- Manage the firm’s outgoing mail per policy and procedure, ensuring all outgoing mail has a cover letter, is formatted correctly, and that copies of all signed outgoing mail and certificates are saved in the client folder.
Education and Experience Information
A legal secretary should have a high school diploma, but advanced training at a college or university is preferred. Prior experience in a law firm is required, with legal secretarial experience preferred. However, experience as a file clerk, receptionist, or project assistant may suffice. The candidate should have at least 3 years of experience in a law office.

- Strong written and oral communication skills.
- Strong organizational skills with the ability to prioritize duties and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with intermediate proficiency in Excel preferred.
- Ability to work independently with minimal supervision.
- Ability to work with a variety of clients at all levels of the legal profession.
- Ability to handle multiple tasks simultaneously.
Salary Information
The position offers a salary range of $40,000 to $43,500 per year.
