Leasing Paralegal
About the Job
Purpose:
The role of Leasing Paralegal is crucial in managing legal documentation and supporting a wide array of leasing and corporate legal functions within the company.
Essential Duties and Responsibilities:
Lease Drafting & Management
- Prepare initial drafts of lease agreements and related documents for both prospective and existing tenants.
- Revise, format, and finalize lease agreements and other legal documents as necessary.
- Maintain, track, and manage documentation related to leases, including renewals, amendments, and legal notices.
Contract Management
- Draft contract language for attorney review.
- Maintain and manage a repository for all executed contracts, amendments, and related documentation.
Legal Document Administration
- Monitor and track entity formation, annual report deadlines, and other compliance filings.
- Maintain accurate legal records and filing systems, both digital and physical.
Litigation Management
- Oversee and coordinate with outside counsel on premises liability claims such as slip-and-falls and tenant dispute litigation.
- Assist with document collection, case monitoring, and litigation status tracking.
- Communicate with internal stakeholders and claims teams regarding litigation updates and outcomes.
Research & Special Projects
- Conduct legal research and support special projects as assigned by the legal department.
- Assist with creating, updating, and maintaining document templates and contract libraries.
Interdepartmental Collaboration
- Work closely with teams across leasing, operations, marketing, and accounting to ensure seamless communication and document flow.
- Coordinate the execution of agreements using DocuSign and manage related workflows.
Technology Fluency
- Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, DocuSign, Microsoft Teams, and shared drives.
- Strong comfort with emerging technologies and legal tech platforms. Ability to quickly learn, adapt to, and implement new systems such as contract lifecycle management tools, digital filing solutions, or workflow automation software.
Other
- Prepare weekly status reports and submit invoices through internal systems.
- Draft and handle follow-up communications with internal and external parties.
- Assist with day-to-day administrative tasks that support the efficiency of the legal department.
- High level of detail, excellent grammar and writing skills, and the ability to read, process, and explain legal language.
- Ability to work well and have a positive attitude with various departments throughout the company. Good people skills and willingness to work with a variety of different people.
- Flexibility to wear various hats in the department, and willingness to do administrative tasks alongside paralegal work.
- Answer phones, open mail, and place follow-up calls.
- Regular, reliable, and consistent attendance.
- Additional duties as assigned.
Preferred Skills, Knowledge, and Abilities:
- Bachelor’s degree and/or paralegal certificate preferred.
- Minimum of 3 years of paralegal experience with a leasing emphasis.
- Experience in the preparation of lease agreements and related legal documents.
- Ability to effectively negotiate and finalize agreements.
- Ability to work independently and to manage multiple priorities.
- Experience in MS Office and PDF formatting.
- Exceptional attention to detail, organizational, and communication skills.
