Job Title: Executive Coordinator

Job Responsibilities:

As an Executive Coordinator within the Client Solutions Group at the law firm, the individual will work closely with the Chief Client Solutions Officer and Senior Director of Client Solutions and Innovation. The role involves filtering and attending to the daily operations functions of the Client Solutions Group leadership team to allow them to focus on building, maintaining, and servicing solutions for internal and external clients. Key responsibilities include:

- Team and Meeting Operations:
- Overseeing select calendars and coordinating meetings, teleconferences, travel, and accommodations.
- Triaging and redirecting incoming requests, prioritizing time, and ensuring focus on sensitive items.
- Attending key meetings as needed and providing summaries, action items, and takeaways.
- Preparing, processing, and following through with invoices, expense reports, and related financial documentation through Chrome River or similar systems.

- Strategic Execution and Operational Efficiency:
- Maintaining the Client Solutions Group strategic calendar and operational documents, including guidelines and checklists.
- Maintaining strategic planning matrices, assembling reports, updating tracking progress, and communicating with the team to ensure effective updates and follow-through.
- Supporting and, when appropriate, independently overseeing special projects and requests by leveraging an understanding of law firm business services, including liaising with personnel responsible for pricing and financial terms, billing and timekeeping, new business intake and conflict clearances, and marketing and business development efforts.

- Communication and Information Oversight:
- Drafting internal and external communications, including emails.
- Organizing, maintaining, and managing resource repositories, including document resources, such as presentations, and electronic templates and files.
- Preparing legal operational documents, including charts, visualizations, templates, and other materials, and compiling other deliverables as needed.
- Building presentations, briefings, and prep materials, applying analytical thinking to ensure clear, compelling content.

- Performing other duties, tasks, or projects as assigned.

Education and Experience Information:

- A Bachelor’s degree or higher, preferably in a relevant field, is required.
- 3 to 5 years of experience in professional executive administrative roles, supporting executives is required. Experience in a law firm is strongly preferred but not required.
- Legal operations experience is a plus.

Skills and Abilities:

- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), comfort with technology, and the ability to learn programs/software.
- Effective and courteous communication skills, both verbally and in writing, with clients, attorneys, business professionals, and third parties.
- Ability to build and foster positive internal and external relationships through exceptional client service and interpersonal skills.
- Ability to collaborate and contribute positively within a team environment.
- Ability to produce high-quality, accurate, complete, and timely work product.
- Exceptional follow-up and follow-through capabilities.
- Ability to serve as a self-starter who is organized and detail-oriented.

- Demonstrate initiative and judgment when handling matters with limited guidance.
- Show willingness to learn new tasks and adapt readily to change.

Salary Information:

For applicants in New Jersey, the salary range is $65,000 - $85,000.
