Job Title: Litigation Legal Administrative Assistant
Job Responsibilities:
The Litigation Legal Administrative Assistant plays a crucial role in supporting attorneys by providing comprehensive secretarial and administrative assistance to ensure the delivery of quality legal services to clients. The specific duties include:
- Providing excellent customer service through answering phone lines and communicating effectively with clients.
- Drafting standard legal documents such as pleadings, correspondence, memoranda, and other necessary documentation.
- Performing e-filings, preparing pleadings notebooks, updating indexes, and preparing exhibits.
- Maintaining and organizing legal files efficiently.
- Participating in the timely review and submission of prebills and/or client bills.
- Accurately filing court documents both electronically and in document form, adhering to any local or judge-specific requirements.
- Coordinating and arranging travel and meetings for attorneys.
- Accurately preparing and submitting client intake forms.
- Regularly updating client files, notebooks, and pleading indices.
- Maintaining attorney-specific case lists, charts, and tracking the status of cases and outcomes.
- Entering, reviewing, and revising timesheets accurately.
- Proofreading all documents to ensure accuracy and completeness.
- Understanding and complying with office policies concerning file management, case lists, filing, and recordkeeping.
- Effectively managing and monitoring the calendaring of deadlines and key dates.
Education and Experience Information:
To qualify for the position of Litigation Legal Administrative Assistant, the following educational background and experience are preferred:
- A Bachelor’s degree from an accredited college or university is preferred, although a high school diploma or GED is required.
- A minimum of 3 years of prior experience in a law firm environment is necessary to be considered for this role.
Qualifications:
Candidates for the position should possess the following qualifications:
- Proficient knowledge of legal documents, including formatting, table of contents, table of authorities, styles, track changes, and managing PDF documents.
- Strong computer proficiency in using MS Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience working with a Document Management System, with iManage experience being a plus.
- Experience with time entry, e-Filing, and database software.
- Experience in opening files and conducting conflict checks.
- Excellent communication skills, both written and verbal, with a demonstrated understanding of correct grammar, spelling, and punctuation.
- Ability to work effectively and proactively within a team environment.
- Strong time management skills and the ability to work under pressure in a fast-paced environment.
- Ability to coordinate multiple tasks concurrently and meet deadlines.
- Strong organizational skills, interpersonal skills, and attention to detail.
- Ability to handle confidential documents and information appropriately.
Working Conditions:
