As a Legal Assistant, you will play a crucial role in supporting the legal team and ensuring exceptional service for clients at the law firm. The position involves managing various office activities to ensure successful office operations. Your responsibilities include:
- Welcoming on-site guests, determining the nature of their business, and announcing them to the appropriate personnel.
- Providing administrative support to attorneys to enhance overall office efficiency.
- Communicating with clients, field associates, and vendors to ensure smooth operations.
- Preparing case summaries and materials for mediation and organizing team case reviews.
- Conducting thorough research to gather case-relevant information.
- Typing and filing legal documents and correspondence with attention to detail.
- Answering phone calls, taking messages, and directing inquiries appropriately.
- Ensuring that the main voicemail reflects office closings, special events, and posting office closed signs.
- Scheduling meetings, travel plans, and conference rooms for attorneys, clients, and vendors.
- Receiving and forwarding incoming faxes.
- Receiving, sorting, and distributing office mail.
- Maintaining updated contact inventories and facilitating deadlines with timely reminders.
- Ensuring compliance with company policies and procedures.
Education and Experience Information:
Candidates should have:
- Proven experience as a Legal Assistant or Legal Secretary in Pre-Suit/Pre-Litigation Personal Injury law.
- A polished professional demeanor with an outgoing attitude, being a team player, and making guests feel at home.
- Comfort and experience interfacing with various levels of staff and management in a fast-paced environment.
- Outstanding time-management and typing skills.
- Proficiency in MS Office and familiarity with legal technology.
- Strong communication skills in English; being bilingual is a plus.
- Experience with case management software.
- Excellent organizational skills and the ability to juggle multiple tasks effectively.
- A detail-oriented mindset and the ability to work autonomously.
- A professional demeanor, including attire and attendance.
