Job Title: IP Paralegal - Patent Services Department
Job Responsibilities:
- Draft, prepare, and file legal documents related to both foreign and domestic patent prosecution, ensuring accuracy and adherence to applicable regulations.
- Review and manage correspondence from foreign associates; draft client communications regarding new filings, formalities, and procedural updates.
- Generate and distribute client reporting letters detailing status updates and official correspondence.
- Track and apply specific client preferences and requirements for filing, reporting, and document handling.
- Maintain and organize case files; ensure file integrity and monitor compliance with key deadlines and procedural milestones.
- Proactively monitor and manage docket deadlines; follow up with clients via phone, email, or written correspondence to ensure timely action.
- Effectively prioritize and manage workload to meet strict filing and prosecution deadlines.
- Collaborate with attorneys, legal assistants, and other staff to support case strategy and workflow efficiency.
- Accurately record billable hours in accordance with firm policies and client billing guidelines, ensuring timely and detailed time entry for all tasks performed.
- Develop and maintain proficiency in the Manual of Patent Examining Procedure (MPEP) and applicable patent rules and procedures to ensure accurate and compliant prosecution practices.
Education and Experience Information:
- 2-3 years’ experience with . and/or international patent prosecution, including familiarity with USPTO rules, PCT procedures, and foreign filing requirements.
- Working knowledge of docketing systems and the ability to monitor and manage prosecution deadlines accurately.
- Proficiency in Microsoft Office Suite; experience with IP-related software such as CPI, iManage, Anaqua, and IPDAS is a plus.
- Skilled legal researcher with an understanding of the Manual of Patent Examining Procedure (MPEP) and other relevant IP resources.
- Excellent proofreading, editing, and written communication skills.
- Strong organizational skills with exceptional attention to detail.
- Proven ability to manage multiple tasks and deadlines effectively.
- Ability to work independently and collaboratively in a fast-paced environment.
- Capable of maintaining high-quality work under pressure while meeting tight deadlines.
- Demonstrated ability to anticipate needs, adapt to changing priorities, and develop creative, solutions-oriented approaches to challenges.
- Bachelor’s degree or equivalent relevant experience required.
Salary Information:
- The salary range for this role is $55,000 to $65,000 annually. This is a non-exempt position. This range is only applicable for jobs to be performed in Washington, DC. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting.
- An employee’s pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, geographical location, and business or organizational needs.
- This job is also eligible for an annual merit increase and bonus pay.

Additional Information:
- The position is a hybrid role, with a blend of remote and in-office work. The employee will be required to work in the office at least two days per week, or more, depending on business needs and/or work assignments. In-office specific duties include managing mail, copying, face-to-face meetings, greeting clients and visitors, team collaborative projects, as well as company events.
