Job Title: Client Account Specialist
Job Responsibilities:
- Complete ownership of the billing and collections cycle for designated portfolios of client matters, ensuring proper and accurate client account set up for billing, ebilling, collection arrangements, and inventory management.
- Establish, foster, and maintain professional and collaborative relationships with attorneys, business services personnel, and clients to ensure compliance with both attorney and client specifications.
- Manage all billing and collections processes from engagement to collections with tact, diplomacy, and effective negotiation skills.
- Review rates for accuracy, ensuring fee arrangements align with client outside counsel guidelines, monitoring fee caps, tier discounts, accruals, and matter budgets. Escalate potential issues such as delayed billings or exceeding fee caps.
- Oversee the proforma to final bill process, ensuring Matter Supervising Partners receive and return accurate proformas in a timely manner. Submit finalized bills/eBills in the appropriate template format, adhering to attorney and client specifications. Ensure final bills are submitted to the client and posted in the finance system.
- Collaborate with the eBilling Team regarding new client and matter eBilling set-ups and with the Client Maintenance Team to update appropriate fields according to client billing guidelines. Take accountability for successful submission of invoices electronically and troubleshoot issues, proactively following up regarding acceptance and timely payment of eBills.
- Communicate directly with clients as requested or established, including following up on eBilling collections and contacting clients as needed. Concisely communicate arrangements with Matter Supervising Partners and clients regarding their matters, providing clients with requested information on any special billing or collection arrangements. Respond to all related inquiries.
- Respond to inquiries relating to accruals, billing, and payment information. Recommend solutions based on billing trends relating to realization and prepare ad hoc reports upon request.
- Prepare effective monthly billing and collections forecasts for assigned portfolio.
- Maintain updated proforma status report, ensuring the system reflects the current status for all proformas.
- Establish effective back-up support processes, including cross-training and knowledge transfer, to ensure seamless support for all portfolio matters. Ensure adequate coverage when out of the office and communicate to co-workers and attorneys ahead of time. Set out-of-office messages.
- Participate in continuous improvement of processes for own portfolio and for the Client Account Specialist group as a whole. Offer constructive recommendations and solutions, propose streamlined processes, and actively solve problems.
- Encourage participation in the Responsible Business program.
- Perform other duties as assigned.
Education and Experience Information:
- Bachelor’s degree in accounting, finance, or a business discipline required, or an equivalent combination of education and work experience.
- At least three years of dedicated specialized billing, ebilling, collections, or account management experience.
- Hands-on experience performing complex accounting analysis.
- Law firm or professional services background preferred.
Salary Information:
- In Washington, DC, the annualized salary range for this position is $61,000 to $69,000.
- In Colorado Springs, CO, the annualized salary range is $62,000 - $85,000.
- In Denver, CO, the annualized salary range is $63,000 - $87,000, depending on the candidate's overall experience and other job-related factors permitted by law.
