Job Title: Practice Assistant

Job Responsibilities:
The Practice Assistant at the law firm is tasked with a range of responsibilities essential for supporting the Litigation team. The role involves:

- Typing, proofreading, formatting, and editing correspondence, memoranda, agreements, and other legal documents under time-sensitive deadlines, with occasional drafting of documents.
- Running conflict checks, preparing engagement letters, and opening new client and new client matters within the onboarding system.
- Calendaring case-specific deadlines and coordinating court hearings, depositions, and mediations.
- Preparing documents for filing in State and Federal courts.
- Maintaining paper and electronic files through the document management system in connection with filing protocols and retention policies.
- Scheduling appointments and meetings, making travel arrangements, and setting up conference calls and video meetings.
- Managing busy attorney schedules through Microsoft Outlook calendaring and tracking/monitoring deadlines.
- Preparing and submitting expense/reimbursement reports.
- Improving efficiencies by utilizing software applications, expanding knowledge, and learning new applications and skills to achieve higher quality and more efficient work products.
- Working as a team and in conjunction with attorneys and business professionals in specified practice area(s) and office/Firm-wide.
- Liaising with document services for all document production projects.
- Keeping abreast of practice-specific laws, rules, processes, and procedures.
- Effectively communicating with clients, colleagues, court personnel, and opposing counsel, as directed.
- Working individually and in collaboration with attorneys to understand client concerns, ensure client satisfaction, and build relationships of trust and reliability.
- Conducting basic research/analysis, including due diligence of companies and individuals.
- Performing other duties as assigned.

Education and Experience Information:
The position requires:

- A minimum of three years of experience as a legal assistant in a law environment, or comparable experience, in Litigation.
- A high school diploma is required, while a college degree is a plus.
- A willingness to learn and operate in other practice areas as needed.
- Prior use of a document management system (NetDocs) is a plus.
- Proficiency with MS Word, Outlook, Excel, PowerPoint, Teams, and Zoom.
- The ability to organize and prioritize workload and work in a fast-paced environment.
- Excellent written and verbal communication skills and the ability to professionally interact with professionals, clients, and staff.
- Problem-solving skills and the ability to anticipate issues/problems.
- Strong attention to detail, initiative, and follow-through.
- A positive, can-do, team-oriented attitude.
- The ability to work independently, efficiently, and confidentially, and balance assignments/workflow from multiple busy attorneys meeting time-sensitive deadlines.
- The ability to work overtime, as needed.
