Job Title: Paralegal Aide

Job Responsibilities:
The primary responsibilities of the Paralegal Aide within the Estates Recovery Unit of the Office of Revenue include:

- Preparing legal documents from templates for filing with the court and serving upon all interested parties, such as Plaintiff attorneys, Estate executors, Administrators, Fiduciaries, and Beneficiaries. This includes documents like Proof of Claim and Notice of Lien.
- Managing, maintaining, and organizing all papers and documents in a neat and chronological manner. This responsibility extends to scanning and uploading documents to the organization's One Viewer.
- Obtaining Welfare Management System (WMS), Claim Detail Report (CDR), and Division of Accounts Receivable and Billing (DARB) printouts to verify Medicaid claims and any payments already credited to the account. Additionally, using LEXIS NEXIS, ASSETS, and researching the ACRIS Database for Property Liens.
- Drafting correspondence, demand letters, requests for case status, requests for documentation, and acknowledgments of payments.
- Responding to inquiries from outside counsel, Corporation counsel, Public Administrators offices, and/or program staff via letter, email, or telephone.
- Updating case activity notes in the Office of Legal Affairs (OLA)’s web portal case management system.
- Preparing service process slips for filing legal documents with the court.
- Preparing monthly case activity reports.

Education and Experience Information:
Minimum Qualifications:

1. A baccalaureate degree from an accredited college or university, recognized by regional, national, professional, or specialized agencies as accrediting bodies by the . Secretary of Education and the Council for Higher Education Accreditation (CHEA); or
2. An associate degree or completion of 60 semester credits from an accredited college, recognized by the same accrediting bodies, and two years of full-time satisfactory experience, acquired in the United States, in the performance of paralegal (legal assistant) services; or
3. A four-year high school diploma or its educational equivalent approved by a State’s Department of Education or a recognized accrediting organization and four years of full-time satisfactory experience, acquired in the United States, in the performance of paralegal (legal assistant) services; or
4. A satisfactory combination of education and/or experience equivalent to the above. Paralegal Certification obtained in the United States from an accredited program or approved by the American Bar Association can substitute for 12 months of experience. Undergraduate credit can substitute for experience on the basis of 30 semester credits from an accredited college for 12 months of experience. However, all candidates must have at least a four-year high school diploma or its educational equivalent.

Experience in paralegal services must have involved the American Legal System. Experience primarily as a legal secretary or including only incidental paralegal services is not acceptable.

Special Note: Individuals must have one additional year of pertinent paralegal experience or have a baccalaureate degree in addition to the above requirements to be eligible for placement in Assignment Level II duties and pay of Paralegal Aide.

Preferred Skills:
- Working knowledge of DSS/IREA systems, such as WMS, EDW, and HRA One Viewer.
- Excellent verbal, written, interpretive, and interpersonal communication skills.

Salary Information:
The salary range for this position is $48, – $55,.

Residency Requirement:
New York City residency is generally required within 90 days of appointment. However, City Employees in certain titles who have worked for the City for two continuous years may be eligible to reside in Nassau, Suffolk, Putnam, Westchester, Rockland, or Orange County. Candidates should discuss with the agency representative at the time of the interview to determine if the residency requirement applies.
