Job Title: Practice Assistant - Cross Border Practice

Job Responsibilities:

The Practice Assistant within the Cross Border Practice Group at the law firm is responsible for providing secretarial and administrative assistance to attorneys and paralegals. The role involves supporting the delivery of quality legal services to clients, performing complex and specialized secretarial and clerical tasks, and working collaboratively in a team-oriented environment. Specific duties include:

- Preparing Documents: Utilizing word processing and document management software to prepare and process correspondence, memoranda, and complex legal documents according to practice group requirements. This includes independently composing routine cover letters and documents, proofreading for formatting, spelling, and grammar, and preparing revisions and redlines. Documents for e-filing are also prepared as required.
- Processing Mail: Reviewing and routing incoming mail and fax communications, preparing outgoing mail and faxes, and arranging for specialized mail or messenger services when necessary. Ensuring that all attachments, exhibits, and enclosures are included.
- Maintaining Calendar: Updating calendars for assigned attorneys, including scheduling meetings, appointments, due dates, and client-related activities.
- Maintaining Files: Keeping both paper and electronic files in compliance with internal policies, performing routine filing, and retrieving files as needed. Also maintaining chronological files and administrative files for assigned attorneys.
- Timekeeping: Preparing time entries for assigned attorneys, submitting them in a timely manner, and handling expense reimbursement and disbursement requests. Coordinating client billing matters with the Billing Department.
- General Administrative Support: Preparing and processing new matter documents, receiving and screening phone calls, directing clients and visitors, coordinating travel arrangements, and preparing itineraries and travel expense reports. Scheduling meetings, arranging for conference rooms and meals, and communicating effectively with clients and colleagues. Being proactive in anticipating business needs and meeting deadlines.
- Additional Responsibilities: The Practice Assistant may also mentor new office staff and assist with piloting new software.

Education and Experience Information:

To qualify for the position of Practice Assistant at the law firm, candidates must have:

- A minimum of 4 years of experience as a practice assistant or legal secretary.
- Knowledge of legal terminology, legal documents, and legal processes.
- Accurate typing skills with a minimum speed of 70 words per minute.
- Strong proficiency in MS Office, document management, time entry, e-filing, and database software.
- Excellent written and verbal communication skills.
- An understanding of correct grammar, spelling, and punctuation.
- Strong proofreading skills.
- Superior organizational skills, including filing, calendaring, and proofreading.
- Time management skills and the ability to work independently as well as in a team.
- Regular predictable attendance.

Salary Information:

The expected salary range for the New York State position is between $53,360 and $116,160, and for the Illinois position, it is between $50,720 and $110,400. Actual pay will be adjusted based on experience, geographic location, and other job-related factors as permitted by law.
